Senior Administrative Assistant - Trans-Canada Capital

Reporting to the Vice President, Finance and CFO, we are currently seeking a Senior Administrative Assistant responsible for supporting the President and other Executive members within the firm and will contribute to different transversal initiatives and projects.

This is a full-time on-site position at our office downtown Montreal.

Roles and responsibilities 

  • Tasks to support various departments
  • Manage calendars, schedule meetings, and coordinate appointments for the President and other Executive members. Occasionally also provide personal support to President, including managing personal tasks and errands.
  • Acting as the gatekeeper of the President for internal and external contacts
  • Serve as a central point of contact for internal and external stakeholders, handling inquiries and directing them to the appropriate departments or individuals.
  • Filing important documents, including drafting and formatting memos, reports, and presentations.
  • Process and manage expense claims for the President and other Executive members, ensuring accuracy, compliance with company policies, and timely reimbursement.
  • Coordinate and arrange travel logistics, including booking flights, accommodations, and transportation, for the President and other Executive members, as required.
  • Assist in budget monitoring and expense tracking for the various departments.
  • Collaborate with team members to ensure smooth workflow and effective communication between departments.
  • Assist in the coordination and execution of departmental projects, events, and initiatives.
  • Contribute to the continuous improvement of administrative processes and procedures.
  • Helping other administrative assistants, if necessary.
  • Keeping important information and documents organized physically, and electronically.
  • Maintaining a high degree of discretion and confidentiality.

Task in relations to HR

  • Provide administrative support to multiple departments within the organization, including HR.
  • Assist in the recruitment process by scheduling interviews and coordinating candidate assessments.
  • Assist in onboarding new employees, including preparing paperwork, coordinating orientations, and ensuring a smooth integration process.
  • Assist in organizing and coordinating training programs and employee development initiatives.

Qualifications

  • Diploma of College studies in a relevant field;
  • Minimum of 8 years of relevant experience; 
  • Bilingual (English and French) strong writing skills;
  • Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word);
  • Previous experience with an asset management firm is an asset; and
  • Demonstrate a working knowledge of investments products and asset management firm specific context.
