The HR Shared Services Administrative Support II - e-Records Assistant provides accurate and efficient employee electronic document management. Reporting to the Team Lead, Recruitment and e-Records Operations, the incumbent is responsible for employee electronic file maintenance which includes ensuring both hard copy and emailed documents that are received are categorized correctly and either sent for processing or electronically filed on employees' files. This requires understanding the processing requirements for all Alberta Health Services, Alberta Precision Labs, Covenant Health, Capital Care and Carewest forms, where they need to be sent electronically for processing, and/or when the forms are only required to be electronically filed on employee files. Additionally, this position is responsible for completing file requests in accordance with employee file management processing including ensuring proper documentation is received, verified and processed properly. The e-Records Assistant is also required to scan original documents using high volume document imaging technology. This position is responsible for processing mail in the Edmonton office on a scheduled rotation.

As an Administrative Support II, you will require administrative or specialized skills and knowledge to support procedures, practices and initiatives within a department or program.

Completion of Grade 12 or equivalent.

A minimum of one year of electronic filing experience required. Demonstrated ability to conduct electronic information searches combined with familiarity with computer applications such as Microsoft Office, scanning and database experience. A beginner to intermediate level of Excel knowledge and experience. Experience working with the Iron Mountain process and software. Accurate data entry skills and attention to detail. Understanding of AHS Privacy and confidentiality policies and how to apply them appropriately when performing file requests and document management. This position has physical requirements to work in the Edmonton office, including the ability to reach, bend, squat, lift up to 25 pounds, and standing for periods greater than 1 hour. This position has a requirement to work onsite at Seventh Street Plaza on a rotational basis, approximately about once a month.

Completion of post-secondary training in Records Management or a related field. Working knowledge of FOIP legislation related to records management is a strong asset. Experience working with a large-scale records system preferred.
