Description
Within Cancer Care Alberta (CCA), Supportive Care Services, Psychosocial and Rehabilitation Oncology services are provided by health care professionals dedicated to enhancing the quality of life of those affected by cancer by providing support from the time of diagnosis through treatment and beyond. The healthcare professionals working within CCA are leaders in cancer diagnosis, treatment, survivorship, and palliative care. The Supportive Care team is looking for a team-oriented, customer service driven, and highly organized Administrative Assistant to join our team in a casual role to help us at the new Arthur J.E. Child Comprehensive Cancer Centre. Under the general supervision of the Manager and the Team Lead, the Administrative Assistant performs varied reception, secretarial and clerical duties to support clinical service delivery. To fulfill the required duties, the Administrative Assistant uses timely decision-making, knowledge translation and initiative to anticipate patient and provider needs. The ideal Administrative Assistant must be knowledgeable about Allied Health disciplines and services, along with CCA’s programs and teams. Other key clerical duties include booking in-person and virtual appointments, communicating with various members of AHS and the public, maintaining clinic schedules, photocopying, using various computer-based applications to generate reports/ schedules, referrals management, interacting with the public, helping others way find across CCA, and providing support and cross-coverage to administrative colleagues. Currently, this position must be available to work Mondays-Fridays during daytime hours. The days of work for all positions within Supportive Care, South may change based on operational needs.
As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Medical Office Assistant and Unit Clerk Diploma/ Education. Proficient with MS Office Suite (Word, Outlook, Excel). At least one year’s working experience in the Medical Office Assistant Role and/or Unit Clerk Role in Connect Care/ EPIC. Must have a consistent customer-centered approach to work. Excellent verbal and written communication skills. Must demonstrate initiative, creativity, knowledge translation, and competence in time management. Able to independently recognize and manage confidential patient information and other hospital information. Able to work independently and prioritize competing demands. Able to work with multiple tasks in an environment with constant interruptions. Able to work as a member of a multidisciplinary team.
Experience using electronic medical records. Connect Care/ Epic training for unit clerks. Experience with using Zoom. Experience ordering equipment and supplies using Oracle/ Procurement, Grand and Toy and other online ordering software. Experience using RightFax. Minimum two years administrative assistant experience in a hospital or clinic setting. Experiencing working with Allied Health disciplines like physiotherapy, occupational therapy, counsellors.
