Description
Reporting to the supervisor of Registration, Switchboard and Patient Information (RSPI) within Health Information Management (HIM), the Administrative Support III is responsible for ensuring the timely and accurate scheduling of client appointments the clinical information system. This position must be able to deal with high volumes of work specific to the department to meet client needs and daily deadlines. This position is responsible to independently and collaboratively solve problems with discretion and may be expected to respond to difficult client/operational issues and communicate effectively with various stakeholders to ensure delivery of patient and family centred care. Excellent communication skills, interpersonal skills, conflict resolution and organizational skills are required to ensure patient needs are met in a timely and efficient manner. Required to work within a multi-disciplinary team with constant interruptions and changing work demands. Must be able to demonstrate flexibility when dealing with changes in priorities and deadlines. Additional duties may include referral processing, Registration and reception duties, collecting facility fees from uninsured or out-of-country patients, training and mentoring new and existing staff on policies, procedures, and workflow, and performing clerical tasks such as answering phones and greeting the public. This position upholds strict confidentiality in accordance with the Health Information Act (HIA), the Freedom of Information and Protection of Privacy Act (FOIPP), and AHS privacy policies.
As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Medical Office Assistant, Unit Clerk Specialty and/or Post-secondary education applicable to the position with Medical Terminology from a recognized training program. Minimum typing speed of 40 wpm. Strong critical thinking skills with the ability to adapt to frequent interruptions and shifting work demands. Excellent verbal and written communication skills in English. Capable of bending and lifting up to 25 pounds. Physically able to sit and stand for extended periods of time.
Knowledge of Connect Care Scheduling, Registration, or Referrals roles. Knowledge of Netcare, and MS Office (Teams, Windows, Word, Excel, Outlook). Exceptional interpersonal and telephone communication skills. Ability to thrive in a fast-paced, multi-disciplinary environment with frequent interruptions and changing priorities.
