The successful candidate will be accountable for secretarial and administrative support to the Allied Health Community Manager. Key responsibilities include: coordinating appointments for the Manager, tracking and ensuring timely follow-up of work in progress, assisting in the office/site administration operations, developing draft correspondence and reports, collating information and statistics, time keeping, recruitment support, establishing communication channels with other departments or external agencies, working closely with Managers and staff and responding to inquiries and/or redirecting as appropriate. Your flexible and anticipatory approach and well-developed organizational skills will assist in the completion of other various responsibilities including project management, minute taking, development of spreadsheets/forms/complex documents, mail distribution as well as other initiatives and projects as required across Edmonton Zone Allied Health Community.

As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Some post-secondary education.

Successful completion of a post-secondary secretarial/administrative support certificate from an accredited business school is required. Five years of office management or administrative experience is required. Strong formatting, grammar, syntax and proof-reading skills required. Excellent verbal and written communication skills as well as strong problem-solving skills. Able to work and adapt within short timelines, deal with numerous interruptions, and work independently in a busy multi-tasking environment. Strong organizational skills, planning and time management skills. Advanced proficiency with various computer applications including word processing, excel spreadsheets, Visio, email, e-people, oracle, MS Teams, Zoom and internet are required. Physical demands include lifting up to 30 lbs., bending, twisting, reaching, sitting or standing for greater than 2 hours at a time. Psychosocial demands include managing and redirecting concerns/complaints, demonstrating and facilitating respectful communication and cooperation, working in a fast-paced environment with changing demands, interruptions and priorities. Experience managing site/facility issues.
