Description
This position reports to the Assistant Health Services Manager (HSM) within two Calgary Correctional sites and functions as an Administrative Assistant IV to both the Assistant HSM and HSM, as part of a multidisciplinary team within the correctional facilities. The role requires the incumbent to perform a wide range of clerical duties with minimal supervision, including financial activities, onboarding and scheduling staff, ordering supplies, data entry, and other related tasks. The Administrative Support IV will need to exhibit a high degree of critical thinking, organizational, and problem-solving skills while supporting complex projects and procedures. Daily work activities are diverse and will involve collaboration with both internal and external stakeholders to maintain complex schedules, achieve objectives, and adapt to shifting priorities and tight deadlines. The successful candidate will be expected to work independently as well as part of a team, demonstrating excellent interpersonal communication, confidentiality, flexibility, and initiative. This position requires advanced or specialized skills to support various departmental initiatives and ensure the accomplishment of team goals. As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post-secondary education.
Ability to meet the physical demands of the position, including quick mobility in emergency situations. Experience with Recovery Alberta computer systems and software, along with proficiency in Outlook, Word, Excel, Connect Care, RMS, Markview, ESP, Insite, Sharepoint, and ePeople. Excellent verbal and written communication skills, with strong time management, problem-solving, and conflict resolution abilities. Proven ability to work efficiently under pressure, handle multiple tasks, and meet deadlines in a fast-paced, dynamic environment. Strong initiative, attention to detail, and ability to multitask with frequent interruptions. Ability to work both independently and as part of a multidisciplinary team. Demonstrated flexibility to adapt to changing priorities and re-allocated workloads as per operational needs.
Medical Office Certificate, Unit Clerk course, or equivalent training and experience. Clerical experience in an acute, fast-paced, time-sensitive healthcare environment. Excellent communication and organizational skills. A positive attitude, professional demeanor, and a strong team player. Ability to adapt to change and handle challenges effectively. Experience in Correctional Health. Training and experience with ESP, Payroll, RMS, FSIS, Connect Care, and Markview/Oracle is considered an asset.
