This Primary Care Alberta (PCA) Administrative Support IV position within the Dept of Family Medicine (DFM) Postgraduate Program and is based in Calgary at the Sheldon M. Chumir Health Centre (SMCHC). The Program Administrator-Academics is a key administrative position within the DFM Residency Program. This position is responsible for scheduling all weekly academic sessions for 1st and 2nd year Residents in our Calgary Program. Academics are half-day didactic sessions and may include lectures, procedural skills sessions, multiple sessions in a single half day, full day or over a few days and located in a single site or different sessions for our 3 Calgary divisions. This position is guided by multiple intricate guidelines and the incumbent must balance significant competing demands, frequently shifting priorities and meet extremely important deadlines. The incumbent must exercise excellent judgment and superior resourcefulness in the performance of daily activities and in the escalation of issues appropriately. This position will be part of Primary Care Alberta effective November 18, 2024. As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Some post-secondary education.

The incumbent in this role is responsible to ensure weekly Academics sessions are scheduled throughout the year. Liaise with Curriculum Director & Curriculum Coordinator, potential speakers & preceptors to schedule instructional lectures and implement in-person workshops including required courses such as ATLS or ALARM for Family Medicine Residents throughout the Academic Year. Secure space and schedule Zoom meetings for lectures for weekly Academic sessions. Manage catering for select Academic sessions when necessary. Directly & independently work with coordinators to schedule training sessions and when required, assign residents to sessions to enhance accuracy of the class schedule. Provide administrative support and assistance to perform project planning, development, implementation and control of training sessions, implementing changes as required. Act as the primary point of contact to communicate confirmed scheduling and administrative issues related to academic courses and lectures in a timely way. Provide feedback and course evaluations to the Program Evaluation Coordinator for distribution to presenters.

Experience in Medical Residency Program administration or related experience in a highly responsible administrator role, preferably in an academic or clinical environment. Demonstrated competence in time management, strong planning and organizational skills, and ability to work independently with minimal supervision and an aptitude for problem solving.
