The primary responsibility of the position is to provide a full range of senior level administrative duties for Medical Leaders. The role ensures the leaders' responsibilities related to portfolio delivery/development are aligned with physician requirements and priorities. Activities include, but are not limited to: day to day administration; Manages communication into and out of the office of the Medical Leader(s). Calendar management including scheduling of large meetings, minute taking, preparing meeting packages; drafting, coordinating and preparing correspondence; preparation of sensitive and confidential data, briefing notes, annual reports, and presentations; coordinate medical staff privileges, preparing expense claims; supporting recruitment & search and select processes, and coordinating various administrative projects. Collaboration with internal/external stakeholders, physicians, and senior managers/executives is essential to ensure the goals of the Leaders are met. Effective project management skills and attributes are critical as the position develops plans, organizes and manages several diverse projects and provides information and consults with stakeholders, management and staff as required. There is an expectation for a high level of interpersonal and communication skills, and independent judgment/critical thinking skills while maintaining confidentiality and discretion. A demonstrated ability to manage change, flourish in a busy environment, and operate within a team environment is required. As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

The candidate must have at least 5-10 years’ experience with senior level administrative support. The candidate must be proficient and experienced in Microsoft Office software, including, but not limited to scheduling meetings, e-mail, word processing, presentations and spreadsheets. The candidate must be able to demonstrate proficiency with meeting preparation & minute taking. Must have a working knowledge of creating physician On-Call schedules. Must be able to demonstrate the ability to prioritize workload, work within fixed deadlines, and manage frequent interruptions in a fast-paced environment. Must be able to demonstrate effective written and verbal communication skills, critical thinking, flexibility and organizational skills. Must be able to communicate effectively with internal/external stakeholders, while maintaining a high level of confidentiality. This position requires the incumbent to be onsite at University Alberta Hospital 50% of the time.
