Reporting to the Patient Care Manager of the Medicine program, the Administrative Assistant V is responsible for a high level of professional, well-organized support for the PCMs and Unit Managers. The incumbent is responsible for contributing to the effective and efficient operation of the management team by managing multiple calendars, scheduling, booking meeting rooms, preparing agendas, and taking meeting minutes. Working under limited supervision, the position is responsible for preparing material for presentations, drafting memos and reports, and providing general support and office supply needs. The individual completes, monitors, and follows up on assigned projects and issues, as well as aids Unit Managers and Unit Clerks within the program, some of which are confidential and sensitive in nature. This role is transactional in nature and assists heavy in recruitment for the Medicine units and the casual float pool. These duties include but are not limited to posting vacancies, reposting, canceling, and amending job requisitions and ensuring compliance with the respective collective agreements. This role also requires the candidate to answer manager inquiries about the Recruitment Management System, assist candidates through the new hire process and schedule orientation collaboratively with the Clinical Nurse Educators.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Completion of post-secondary education (e.g. certificate in office or business administration) or equivalent experience. 3 years’ experience in an administrative V position. Proficiency and speed in using Microsoft Office Suite (Outlook, Excel, Word, Power Point). Demonstrated ability to collaborate. Strong organizational and time management skills. Extensive experience in RMS, ESP, ROCA, Connect Care software programs and SharePoint. Excellent written and verbal communication with basic knowledge in medical terminology. Multiple calendar management with strong organizational skills and attention to detail.
