Job Summary

The Associate I, Global Business Ethics and Compliance will assist the Global Business Ethics and Compliance team in the day-to-day operations of the Global Business Ethics and Compliance Program.

Job Responsibilities
  • Assist the Global Business Ethics and Compliance Officer (GBECO) and designate(s) with the day-to-day operations of the Global Business Ethics and Compliance Program (GBECP). Assist, as required, Regional Compliance Officers or other GBEC designate(s).
  • Manage the lifecycle for GBEC and other corporate policies and procedures as required:
    (1) update policy manager system; (2) verify data accuracy; (3) create new policies; (4) initiate revisions and approvals; (5) follow up with reviewers and making standard edits, and; (5) liaise with IT support and other departments as required.
  • Assist with maintaining project timelines for GBECP initiatives such as risk assessments, audits, and training programs. Coordinate with various stakeholders to ensure deliverables are met. Coordinating related documents for signatures via Adobe Sign/DocuSign.
  • Assign training in training platforms (LRN/GLMS) as instructed, and other SuccessFactors administration tasks (creating and managing items and curricula, reporting, working with Quality and Compliance team to manage assignment profiles).
  • Support training activities (global and regional) through scheduling training sessions as required, preparing slides and reports, liaising with employees.
  • Assist with GBEC communications, including designing communications using on-line software (e.g., Visme), delivering quarterly communications for required reporting, arranging for printing of materials for training, displays and other needs.
  • Support monitoring and auditing work in different regions as assigned by preparing reports from various databases, liaising with other stakeholders and employees, and organizing resources on related Teams Channels.
  • Assist GBECO with administrative tasks including expense reconciliation, flight bookings, meeting logistics.
  • Coordinate training and/or feedback gathering ‘roadshows’ for GBECP initiatives presented to relevant business stakeholders.
  • Coordinate the Global Business Ethics and Compliance Committee meetings, prepare and distribute agenda, meeting minutes; prepare draft slides as required.
  • Communicate metrics of attestations and provide, as required, datasets of non-completers to relevant business stakeholders.
  • Prepare metrics of APOSpeaks (ethics helpline) issues for reporting to the Global Business Ethics and Compliance Committee and other senior management, as required.

Job Requirements
  • Education
    • A university or college degree is required (Preference for Business Management, Communications, Ethics, Society & Law, Public Policy, or Health Sciences).

  • Knowledge, Skills and Abilities
    • Excellent interpersonal and communication skills, with the proven ability to work with a wide range of stakeholders.
    • Excellent English communication skills, both verbally and French language proficiency strongly preferred.
    • Ability to work independently, as well as work well in a team Setting.
    • Demonstrated ability to grasp key concepts and to learn quickly.
    • Quantitative and qualitative analytical and critical thinking skills.
    • Strong desire to learn and contribute to team goals.
    • Aptitude to embrace and learn new technology quickly.
    • Ability to be discreet and maintain confidentiality at all times.

  • Experience
    • Experience in the pharmaceutical, medical device or health care industries is an asset.
    • Strong planning, organizational and prioritization skills.
    • Data management, reporting, verification and testing.
    • Experience with Microsoft Office applications, such as MS Word, Excel, PowerPoint, etc.
