Qualifications:

-Successful completion of a college diploma in Office Administration, or equivalent required
-Post-secondary education in Business/Administration/Commerce preferred

Skill, Ability and Experience:

-Three years’ experience in an Administrative Assistant role required with experience in a senior role preferred
-Knowledge of meeting procedures required
-Proficiency in executive office processes; including financial and legal concepts required
-Ability to set priorities, plan, organize, file, execute duties, balance priorities and meet deadlines required
-Ability to maintain discretion and strict observance of confidentiality required
-Demonstrated proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Access, Visio), Adobe as well as template and form development; use and development of data bases and capable of managing content within a web portal internet/intranet required
- Experience with Sharepoint preferred
-Ability to condense complex discussion into accurate, binding motions/minutes of meetings required
-Highly developed critical thinking skills, decision-making, conceptualization and problem solving ability required
-Willingness to work flexible hours to meet demands of projects/processes/meetings required
-Ability to interact with a diversity of individuals in a broad range of situations, with tact, diplomacy and discretion; with the ability to diffuse potentially volatile situations required

Principal Duties:

-Provides administrative support to the whole of the SL OHT
-Provides administrative support and coordinates the appointment schedule for the Executive Lead in a professional, efficient and confidential manner
-Functions as a member of the Sarnia Lambton Ontario Health Team
-Assists in developing and achieving objectives and goals by coordinating activities with multiple agencies and or committees
-Assists in development/presentation of projects and committee work
-Responsible for managing the day-to-day office operations and acts as a liaison with the Executive Lead and stakeholders
-Performs varied secretarial/clerical functions in a confidential manner including photocopying, mail sorting and distribution, transcribing letters and memoranda, transcribing and distributing policies and procedures, newsletters, etc.
-Organizes meetings and appointments, including booking rooms and arranging for room set up and equipment
-Completes details for attendance at seminars/conferences including registration, hotel and travel arrangements
-Assists in preparation of Agenda and transcribes and distributes Agendas and notices of meetings, record minutes and support activities of committees
-Completes continuing education requirements as necessary
-Other related duties as assigned
