The Administrative Assistant - Operations provides support to the Superintendent’s Office Leadership Team as they set out to fulfill this mission. The successful candidate assists in the effective operation of the CISVA and in the implementation of the policies, procedures and regulations established by CISVA and the Ministry of Education and Child Care for Independent Schools in the province of British Columbia.
I. Primary Relationships
The Administrative Assistant - Operations plays a critical role in the CISVA by working under the guidance of the Senior Human Resources Manager to ensure efficient and effective office operations. They will support and enhance the work of the organization by partnering with the Human Resources Team, Leadership Team, Educational Staff, and Administrative Support Team to achieve our six strategic priorities. Through their efforts, the Administrative Assistant contributes significantly to the overall success of the CISVA.
II. Key Responsibilities Areas
Provides administrative support to CISVA stakeholders that respects confidentiality and ensures that all matters are dealt with in a professional manner
Supports day-to-day office operations and maintenance of the Superintendent’s Office while supporting various departments with ad hoc administrative tasks
School and ministry point person for Criminal Record Check processes, Employment Agreements, and Pastoral Reference Letters for all non-teaching staff
Responsible for processing all non-teaching staff personnel records, including contracts, criminal record check applications, and pastoral reference letters
Record management and data analysis within the Human Resource Data Information System (HRIS)
Responsible for the Change of Signatories process related to school banking authorization
Coordinates the Annual Archbishops Scholarship Program
III. Reporting and Supervisory Relationships
Reports directly to the Senior Human Resources Manager
Collaborates with the Leadership Team, Educational Consultants, and Administrative Support Team
The Applicant
Preference will be given to applicants who possess the following:
Post Secondary or other non-university certificate or diploma from a program of 1 year to 2 years, or equivalent experience
Minimum of 5 years Administrative Assistant experience
Proficiency in Human Resource Information Systems
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong organizational skills with the ability to prioritize tasks effectively
Excellent interpersonal and communication skills with an ability to work well within a team environment
Ability to handle internal and external correspondence professionally
Ability to work independently and coordinate multiple projects simultaneously
Punctual, reliable and maintains a high level of professionalism at all times
Legally able to work in Canada

Salary Range: $50,000 to $67,000
