Position : Elementary School Secretary Location : Holy Trinity School

Job Type : Full-time mid August to mid July. Start Date : June 16, 2025

Hourly $35.00 - $37.00/hr

Come work in our wonderful school community. Holy Trinity School is seeking a dedicated, organized, and resourceful School Secretary to support the smooth and efficient operation of our Catholic elementary school. This is a key role that provides clerical, administrative, and operational support to the principal, teaching staff, and the school community. The ideal candidate will enjoy interacting with K-7 students and their families, and fellow staff members, possess excellent communication skills, be adaptable under pressure, have a strong commitment to maintaining confidentiality, and appreciate the joy and fun of working in our great little school.

Responsibilities:

Administrative Support : Provide clerical and administrative support to the principal and teaching staff as directed.

Communication : Act as a liaison between the school, community, and internal/external stakeholders.

Documentation : Prepare and maintain accurate records and documentation for students, staff, and school operations, including communication with the CISVA office.

Attendance : Track student and staff attendance, generate reports, and manage absences using reporting software.

Confidentiality : Maintain strict confidentiality in all student and staff-related matters.

Technology : Operate common computer hardware and software efficiently, even under pressure.

Phone & PA System : Manage the school's multi-line phone system and public address system for announcements.

Payroll & Benefits : Oversee payroll, benefits, petty cash transactions, school funds, bank deposits, and related recordkeeping.

General Office Duties : Perform a variety of administrative tasks including answering calls, filing, managing correspondence, and creating spreadsheets.

Resource Management : Order and maintain departmental resources, including supplies and materials.

Customer Service : Serve as the first point of contact for callers and visitors, handling inquiries and directing them as needed.

Event Coordination : Assist with organizing lunches and refreshments for staff events, Pro-D days, and other in-school gatherings.

Qualifications:

Experience : Proven experience in an administrative or clerical role, preferably in a school or similar environment.

Skills :

Strong organizational, interpersonal, and communication skills.

Ability to work independently and manage multiple tasks simultaneously.

Proficiency with common office software (Word, Excel, email systems).

Ability to handle sensitive and confidential information with discretion.

Flexibility : Ability to work with frequent interruptions and changing priorities.

Teamwork : Must be a team player with a cooperative attitude and willingness to support the school community.
