Administrative Secretary - Mood and Anxiety Ambulatory Services-camh

The Mood and Anxiety Ambulatory Service is currently seeking a full-time, temporary (12 months) Administrative Secretary to provide administrative support to the MAAS clinic and other related clinical areas. The Mood and Anxiety clinic provides assessment and treatment to clients with mood and anxiety disorders and related diagnoses. Reporting to the Senior Manager, the successful candidate will work collaboratively with an inter-professional team, Access CAMH and other services to provide administrative/clerical duties in order to ensure the smooth and effective operations of the clinic. Responsibilities will include, but are not limited to: document preparation and inter programmatic correspondence, responding to telephone inquiries from clients, families and community agencies/physicians and organization and management of daily clinic schedules. You will conduct data entry for registering and discharging clients as well as daily input of client’s visits. You will be accountable for preparing and management of clinic charts, filing and photocopying clinical documents, ordering supplies, collecting data, booking appointments and performing other related activities as required. This position requires a considerable degree of client contact, both in person and over the telephone. The successful candidate will possess a one-year Community College diploma in Office Administration or a related discipline, plus 2 years secretarial/administrative experience. An equivalent combination of education and experience may also be considered. You will have sound analytical and problem-solving skills, excellent interpersonal and communication (verbal and written) skills, and possess strong administrative skills. You must be proficient with Microsoft Office applications such as Microsoft Outlook, Word, Excel, and PowerPoint to support the department’s activities. Excellent writing and minute taking skills are necessary. You must demonstrate sound judgment, the ability to interpret and apply policies and procedures, and work as part of a team. You will have the ability to and experience in dealing with clients, staff, volunteers and other internal and external agencies from diverse cultural and ethnic backgrounds. You will demonstrate sound judgement, high levels of tact and diplomacy and must be able to respond to customers professionally and politely while creating a welcoming and comfortable environment. The ideal candidate will also be creative and flexible with regard to types of tasks and a team player with a high degree of initiative. Must be able to work under pressure and deal with conflicting priorities and deadlines. Bilingualism (French/English) and/or proficiency in another language is an asset.
