Reporting to the Manager, Recreation Facility, the successful candidate will be responsible for overseeing the daily administrative, operational and customer service facility activities which support the work of other City divisions such as Mississauga Fire Emergency Services, IT, Emergency Management, Facilities & Property Management and CSC.
- Oversee daily facility and grounds inspection to identify issues regarding maintenance / security / cleanliness.
- Manage troubleshooting and performance of minor repairs.
- Responsible for daily checks/re-setting of building systems to meet operational standards and legislative requirements.
- Responsible for room set ups for meetings, this includes table/chair/audio/video set up and restoring the room to its original condition after each use, including cleaning as required.
- Responsible for monthly data entry to track expenses.
- Works collaboratively with MFES team in ensuring that the division is given priority in terms of facility booking through ongoing check-ins and regular updates of booking schedules.
- Assigns the work to staff on daily basis and oversees the quality of work.
- Provides training and mentoring to PT staff as required and sets expectations.
- Acts as the designated Health & Safety representative for the facility as required by the MOL, preforms monthly workplace inspections and addresses deficiencies.
- Coordinates meetings, prepare correspondence, reports, agendas, minutes, manuals, documents and spreadsheets, etc.
- Responsible for contributing to the annual preventative maintenance plan, schedule the work and ensure that the supporting tasks are completed and progress is reported to the Manager.
- Responsible for oversight and schedule coordination for all internal/external rental inquires for classroom/prop booking.
- Provides facility tours to external customers, answers all inquires and provides quotation to customers based on the approved rates & fees by-law.
- Works collaboratively with the Customer Service team by providing accurate information to generate rental agreements, customer invoicing and ensures that liability waivers are signed.
- Provide functional guidance to part-time staff and volunteers when on duty and required by tasks.
- Minimum completion of Grade 12.
- Post secondary degree or diploma in administrative, business or a related field considered an asset.
- Minimum 3 years of administrative and customer service experience.
- Working knowledge of facility operations and maintenance is required.
- Proficiency in MS Office, including Word, Excel, Power Point.
- Excellent oral and written communication skills.
- Ability to establish effective working relationships, provide excellent customer service and work in a team environment with challenging priorities.
- Research and analytical skills required.
- Previous supervisory or leadership experience is considered an asset.
- Previous knowledge of writing or implementing processes is an asset.
- Proficiency in additional computer software applications including SAP and Active Net is considered an asset.
- Standard First Aid/CPR/ AED is required (or willing to obtain it within the first 6 months of start date).
- Travel between City of Mississauga facilities is required.
- Staff should be available to work flexible work hours which may include days, evenings and weekend.
Hourly Rate/Salary: $69,080.00 - $92,107.00
