Job Title: Parts & Service Coordinator

Position Overview: The Parts & Service Coordinator plays a key role in ensuring the smooth operation of the truck equipment division by managing parts inventory, coordinating service requests, and providing excellent customer service. This position involves liaising with customers, suppliers, and internal teams to ensure timely service and accurate parts management.

Key Responsibilities:

  • Customer Service: Provide professional and courteous service, addressing customer concerns and offering tailored solutions.
  • Troubleshooting & Problem Resolution: Diagnose truck equipment issues and collaborate with technicians for timely resolution.
  • Service Recommendations: Offer detailed advice on repairs, maintenance, and upgrades for truck equipment and accessories.
  • Appointment Coordination: Schedule and manage service appointments, ensuring efficiency and minimal wait times.
  • Documentation & Record-Keeping: Maintain accurate records of customer interactions, service requests, and work performed.
  • Pricing & Quoting: Provide transparent pricing estimates and explain cost breakdowns to customers.
  • Customer Follow-Up: Ensure customer satisfaction by following up after service and addressing any concerns.
  • Product Knowledge & Training: Stay updated on industry trends and attend training to enhance expertise.
  • Collaboration: Work closely with internal teams to streamline operations and improve customer service.
  • Compliance & Safety: Adhere to company policies and safety regulations.
  • Parts Identification & Ordering: Assist customers in identifying and ordering the correct parts, manage inventory, and track orders.
  • Technical Assistance: Offer guidance on installation, maintenance, and troubleshooting of equipment.
  • Warranty Claims: Support customers with warranty claims and liaise with suppliers to resolve issues.
  • Shipping & Receiving: Assist with incoming and outgoing shipments, ensuring accuracy and proper documentation.

Parts Inventory Management:

  • Monitor inventory levels, conduct audits, and place orders as needed.
  • Organize parts for easy accessibility and efficient retrieval.

Supplier & Customer Relations:

  • Build strong relationships with suppliers and negotiate favorable terms.
  • Provide technical support to customers and resolve inquiries promptly.

Communication & Coordination:

  • Collaborate with purchasing, sales, and other departments to ensure smooth order fulfillment.
  • Communicate with suppliers and carriers about shipments, delays, or issues.

Continuous Improvement:

  • Identify opportunities for process optimization, cost reduction, and improved customer satisfaction.

Overnight Winter Service:

  • Monitor weather conditions during snowstorms and provide emergency service to snow & ice customers.

Working Schedule:

  • Monday to Thursday: 8:00 AM to 5:00 PM
  • Friday: 7:00 AM to 4:00 PM
  • Occasional overtime may be required

Compensation and Benefits:

  • Hourly rate: $21.00 to $24.00, based on experience
  • Benefits package available after 3-month probationary period

Qualifications:

  • High school diploma or equivalent
  • Experience in customer service, ideally in the automotive or trucking industry
  • Strong communication and problem-solving skills
  • Knowledge of truck equipment and accessories
  • Proficiency in computer systems for documentation and inventory management
  • Ability to multitask and work in a fast-paced environment
  • Flexibility to work evenings or weekends as required
