Job Description

We are seeking a detail-oriented and proactive LOA Specialist to join our Leave of Absence team. The ideal candidate will be responsible for managing all aspects of employee leave of absence programs and benefits administration, ensuring compliance with company policies and applicable federal and provincial regulations. This role involves maintaining accurate records, conducting benefit audits, and collaborating with various departments to support our employees effectively throughout the leave process.

This position will be located at our Head Office in Markham, Ontario and will have flexibility in-office work based on our hybrid work model.

Accountabilities

  • Administer all types of leaves of absence, including medical and nonmedical leave.

  • Serve as the primary point of contact for employees requesting leaves of absence, providing guidance and support throughout the process.

  • Coordinate leave of absence documentation and communication, ensuring timely completion of required forms and notifications.

  • Activate and maintain benefits deductions in the HR and Payroll System.

  • Conduct benefit audits to verify employee benefit enrollments, changes, and terminations in accordance with company policy.

  • Assist with system testing for upgrades and enhancements related to benefits.

  • Create and test EIB Adjustment Files for benefits deductions prior to payroll production.

  • Prepare and run benefit queries and ad hoc reports for internal and external stakeholders.

  • Assist with year-end reconciliation and T4 benefits data generation.

  • Document and implement changes in alignment with union collective agreements.

  • Collaborate with Labor Relations to address Benefit-related inquiries.

  • Collaborate with HR Business Partners, managers, and employees to develop return-to-work plans and accommodations as needed.

  • Maintain accurate leave records and databases, tracking employee eligibility, usage, and remaining leave balances.

  • Stay informed on federal and provincial leave laws and regulations to ensure compliance.

  • Partner with external vendors and third-party administrators to facilitate leave management processes.

  • Provide training and education to employees and managers on leave policies and procedures.

  • Work with the Benefits Team to enhance and develop current benefit processes.

  • Assist with other HR-related projects and initiatives as assigned.

Qualifications and Experience

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent relevant experience preferred

  • Minimum 1 year of experience in HR, benefits administration, or leave management.

  • Strong knowledge of federal and provincial leave laws and regulations.

  • Excellent attention to detail and organizational skills.

  • Proficient in HR and payroll systems preferred; experience with Workday is a plus.

  • Strong analytical skills with the ability to prepare reports and audits.

  • Exceptional communication and interpersonal skills.

  • Ability to work collaboratively in a team environment and manage multiple priorities.
