Full Time Receptionist -

Candidates are invited to apply for the Full Time position of Receptionist at our Extendicare Long Term Care home located in Kingston, Ontario. Reporting to the Operations Manager, the Receptionist is responsible for providing clerical and administrative support to ensure that office and reception services are provided in a courteous, effective, and timely manner. RESPONSIBILITIES

In collaboration with Operation Manager plans, organizes, supports, and supervises the activities of the business office/Reception.

In the absence of the Operation Manager, monitors workflow for the quality of service.

Assists Scheduling and Attendance Coordinator with maintaining work schedules, tracking time and attendance for scheduled employees.

Greeting visitors, determines purpose of visit, and direct visitors to appropriate person or service.

Answer and forward telephone calls, take messages, schedule appointments; schedule or secure transportation for residents and others as requested Place outgoing calls as requested Accounts Payable & Accounts receivables processing and collection.

Maintain records as required and performs clerical work as assigned following Extendicare policies and procedures; maintain current, orderly filing system. Handle payments and trust deposits and withdrawals from families and residents, sell meal tickets, distribute pay statements, distribute mail

Maintain the inventory of office supplies and maintain office equipment by following guidelines in owner manuals and contacting service repair as necessary Monitor front door for residents at risk of eloping.

Adhere to established policies and procedures regarding quality assurance, fire, safety, environment, and infection control.

All other duties as assigned.

QUALIFICATIONS

Applicants must possess:

Excellent interpersonal, communication and organizational skills

Knowledge and experience in standard office practices, use of office equipment, computer fundamentals and software.

Proficiency in Word, Excel, outlook, PowerPoint, Teams. Knowledge of HR, scheduling and interpretation and application of collective agreement provisions.

Demonstrated competencies in planning, time management, ability to determine the priorities of duties and tasks and to be self-directed in their completion.
