We are supporting one of our clients, a company in the distribution sector located on Montreal's North Shore, in their search for an Administrative Coordinator. This is a 32-hour-per-week position.
🎯 YOUR MISSION
Administrative Tasks:
* Open and manage incoming mail.
* Coordinate shipments with carriers such as Purolator, FedEx, and Canada Post.
* Prepare and track registered mail sent through Canada Post.
* Keep office supplies stocked and manage the supplier account.
* Assist in the preparation of gifts, samples, and training materials, ensuring timely and efficient delivery.
* Maintain and organize departmental order forms, sales reports, and other documents.
* Prepare orders in the warehouse and manage chocolate promotions.
Accounting Tasks:
* Monitor incoming emails and print transportation invoices, matching them with carrier documents.
* Collaborate with the accounting team to transfer invoices into the accounting software.
* File invoices on a monthly basis.
* Match check stubs with paid invoices and file them accordingly.
Customs:
* Compare carrier prices based on destinations and goods before invoicing shipments.
* Prepare necessary transportation documents for shipments, including bills of lading and invoices.
* Maintain a record of duties and GST payable at the end of each month and process payments via credit card or check with customs authorities.
Qualifications
* High school diploma or equivalent; relevant college diploma or courses are an asset.
* Previous experience in data entry, customs procedures (a plus), and administrative tasks.
* Familiarity with carriers such as Purolator, FedEx, and Canada Post.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software (e.g., Simply Accounting).
* Excellent organizational skills and strong attention to detail.
* Strong written and verbal communication skills in English and French.
* Ability to multitask and prioritize effectively.
* Knowledge of customs regulations and procedures is a significant advantage.
* Strong problem-solving skills and a proactive approach to challenges.
* Ability to collaborate within a team and communicate across departments.
English proficiency is required for the following reasons:
* Communication with international clients.
* Collaboration with English-speaking partners.
* Drafting documents in English.
