As a member of the Care Services Division team, the Supervisor of Systemic Therapy Outpatient Services (STOPS) Support Staff is responsible and accountable for leading the Clinical Assistants and Chemotherapy Schedulers operational activities within STOPS under the direction of the Managers of STOPS.
The supervisor collaborates with care services and medical services departments, STOPS Managers/Director, and STOPS Clinical Coordinator to set and maintain effective staff schedules, approve leaves of absence for staff and ensure that coverage is arranged for expected and unexpected leaves of absences for those staff directly reporting to the supervisor.
The supervisor provides leadership and support for the frontline staff within their area of responsibility including planning and determining training needs, daily performance coaching and feedback, assisting with the hiring process in candidate selection, interview and hiring, and in the writing of the yearly performance reviews that will be facilitated by the manager of STOPS.
The supervisor schedules and coordinates activities including management of #FULL, facilitation of evening clinics, and procedure bookings. In an effort to ensure timely scheduling of appointments, the incumbent will work closely with the members of the STOPS team, medical services team, COPS team, pharmacy, patients and their families. This position requires accuracy in the collection and recording of appointment volumes and other statistical data.
QUALIFICATIONS:
Education:
- Medical Office Assistant certificate (OR) Office Education/Secretarial certificate plus completion of a Medical Terminology course (OR) completion of a Nursing or Radiation Therapy program.
Experience:
- Two (2) years recent experience performing complex scheduling (patient and/or staff scheduling).
Skills:
- Ability to assume responsibility for work over others on a daily basis.
- Proficiency with a variety of computer systems and software applications.
- Ability to interpret detailed information and communicate factual information effectively both orally and in writing.
- Human relations skills required to empathize with complaints and/or concerns and establish rapport with patients, the public, staff within your area of responsibility and other departments.
- Demonstrates leadership skills.
- High level judgment and problem solving skills are required to select the most appropriate action from a variety of alternatives.
- Strong organizational skills and the ability to prioritize workload.
- Ability to work independently.
- Ability to manage multiple tasks in various stages of completion according to priorities.
- Maintain confidentiality.
- Accuracy of fine motor movements for typing/data entry is required.
- Ability to critically think.
- Knowledge of culturally responsive care for First Nations and Métis people.
