Property Management Administrative Assistant (PMA-25)

Mission Statement: Homes First Society develops and provides affordable, stable housing and support services to break the cycle of homelessness for people with the fewest housing options.

Position type: Full-time, Permanent

Location: 90 Shuter (in-office)

Hours of work: Monday to Friday, 9 am – 5 pm

Starting date: ASAP

Salary: $47,000 per year

This position provides administrative support to the Property Management Department and is an in-office position working Monday to Friday.

JOB REQUIREMENTS

  • writing and distributing emails, correspondence memos, letters, faxes and forms
  • be available in office to assist and take in person resident work order request
  • be available in office to fulfill and provide resident access control mechanisms (electronic fobs, keys)
  • opening, distributing and answering electronic incoming mail and other materials
  • assisting in the preparation of regularly scheduled reports
  • coordinating the flow of information for the housing and shelter programs by scheduling projects
  • Assist in gathering information for reports, budgets and other property management documents
  • Receiving mail deliveries on a daily basis
  • Take requests for orders of custodial supplies and inventory control for all sites
  • Take Requests for ordering of shelter and respite supplies required to maintain service levels and Shelter and Respite Standards
  • Support the Property Supervisor to ensure all shelter and respite properties are compliant with property-related Toronto Shelter Standards and Respite Standards
  • Support the Property Supervisor to ensure all properties are compliant with Accessibility for Ontarians with Disabilities Legislation (AODA)
  • Support the Property Supervisor to ensure all Municipal Licensing and Standards (MLS) including compliance with City of Toronto rooming house licenses and all local property regulations
  • Ensure all residents are treated with respect and dignity

QUALIFICATIONS

  • Proven experience as an administrative assistant
  • Proficiency in MS Office and MS Excel
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Able to work independently and as part of a team
  • Critical thinking skills
  • Performing additional duties as assigned
