Senior Executive Assistant - Job Description
Position Overview:
The Senior Executive Assistant is a key role that ensures the smooth functioning of key executives’ offices by providing comprehensive administrative support. This role requires exceptional organizational skills, discretion, and professionalism to represent the Chief Administrative Officer, Senior Vice President of Supply Chain and Senior Vice President of Asset Protection. The ideal candidate will act as a trusted partner, enabling these leaders to focus on strategic priorities by managing operational and administrative responsibilities effectively.
Key Responsibilities:
- Administrative Support
- Provide high-level administrative support to three senior executives: Chief Administrative Officer, Senior Vice President Supply Chain, and Senior Vice President of Asset Protection.
- Manage complex calendars, scheduling, and email communications with efficiency and confidentiality.
- Draft, review, and manage correspondence, reports, and presentations, ensuring accuracy and professionalism.
- Maintain organized systems for record-keeping, filing, and documentation of confidential materials.
- Provide exceptional telephone etiquette with the ability to handle high-volume, professional communications. Skillfully screen, prioritize and promptly respond to all calls with urgency, ensuring critical matters are addressed immediately while representing executives with diplomacy and discretion.
- Meeting and Event Management
- Plan and execute meetings, conferences, and team-building events, including department and company-wide events, training workshops, and special projects.
- Coordinate meeting agendas, prepare materials, and ensure follow-up on action items.
- Travel and Expense Management
- Arrange domestic and international travel, including accommodations, itineraries, and logistics.
- Process expense reports with accuracy and timeliness, adhering to company policies.
- Stakeholder Liaison
- Act as a point of contact between executives and internal/external stakeholders, fostering strong relationships across all levels.
- Represent executives in communications with professionalism and discretion.
- Screen, prioritize, and address inquiries, ensuring prompt and appropriate responses.
- The Senior Executive Assistant will work core business hours Monday through Friday but must remain accessible during evenings and weekends to address time-sensitive matters, ensuring seamless support for executives in a 24/7 supply chain environment.
- Office Operations and Other Duties
- Oversee office operations and ensure adherence to company procedures and protocols.
- Provide support for ad hoc tasks, such as compiling reports, coordinating presentations, and handling personal tasks for executives when necessary.
- Champion a culture of inclusiveness, belonging, and respect within the workplace.
- Lead and manage special projects and initiatives as assigned, ensuring alignment with organizational priorities.
- Other assigned duties as required.
What You Bring:
- Experience and Skills
- Minimum 10 years of progressive experience in executive-level administrative support, preferably in a dynamic corporate environment.
- Proven expertise in managing multiple priorities in a fast-paced, high-pressure setting.
- Exceptional written and verbal communication skills with the ability to interact effectively across all levels of the organization.
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, and PowerPoint).
