Description
This position is responsible for providing administrative support, with a high degree of confidentiality, discretion and judgment to the VP, Global Accounting Policy & Reporting. This position assists in alleviating the department work-load, improving the department's productivity and enhancing the department's practices and administrative procedures.
Position Responsibilities:
Set priorities to manage work-loads efficiently while maintaining a high degree of confidentiality and accuracy in collaboration with the Vice-President and handling sensitive company information.
Organize and maintain files for the VP, Global Accounting Policy & Reporting, and assist with acquiring and coordinating Legal Entity Financial Statements on the company SharePoint site.
Establish and uphold quality standards for administrative processes, including support functions, general administration, supplies management, and premises management.
Assist the External Reporting team in the preparation and production of quarterly Shareholder Reports, and perform Excel, Word, and PDF processing and formatting of financial documents such as financial statements, press releases, and regulatory reports.
Run day-to-day administrative tasks, including extensive calendar management, occasional calendar management for VP’s direct reports, conference room bookings, preparation of expense reports, invoice payment requests, and office support (faxing, photocopying, scanning, telephone support, and ordering office supplies).
Assist in new employee onboarding and offboarding processes, and research, arrange, and coordinate travel arrangements, transportation, and accommodations.
Required Qualifications:
Minimum of 5 years of experience in an administrative or similar role.
Superior interpersonal, organizational and research skills with the ability to work well in a team environment as well as with other departments and outside sources.
Strong organizational, time management and priority setting skills in order to meet tight deadlines and produce a quality product.
Ability to exercise discretion with highly sensitive information is particularly important.
Demonstrates tact and professionalism and maintains confidentiality.
Ability to use judgment in anticipating and initiating appropriate action along with ability to analyze situations/issues and recommend change.
Preferred Qualifications:
University degree preferred.
Ability to work well under pressure and efficiently balance multiple priorities and projects and prioritize work. Results-oriented and organized.
Ability to handle multiple tasks while maintaining high degree of accuracy.
Excellent verbal communication, writing and editing skills.
Excellent knowledge of Windows, MS Office products (Word, Excel, PowerPoint) and PDF.
Confirmed self-starter who is proactive, takes initiative and thrives in a fast-paced environment.

Salary range is expected to be between
$53,775.00 CAD - $89,625.00 CADIf you are applying for this role outside of the primary location, please contact recruitment@manulife.com for the salary range for your location. The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
