The Opportunity

Our Old Montreal office has an opening for an Executive Assistant position.
As the Executive Assistant to the Managing Partner of our firm, you will play an essential role in the operational and administrative support of the Managing Partner and contribute to the overall efficiency of the firm. Join us and be part of this unique professional adventure!

Your responsibilities

Calendar Management:

  • Organize and manage the Managing Partner's calendar by planning and coordinating meetings, appointments, business travel, and important deadlines.

Communication:

  • Act as the primary point of contact between the Managing Partner and clients, internal partners, and team members. You will be responsible for professional communication, email drafting, and call management.

Project Management:

  • Coordinate and track specific projects assigned to the Managing Partner, ensuring deadlines are met, necessary resources are available, and status reports are prepared.

Document Preparation:

  • Draft, format, and revise reports, presentations, and other professional documents, ensuring they meet the high-quality standards of the firm.

Administrative Support:

  • Manage administrative tasks such as expense management, time sheet preparation, office supplies ordering, and organizing professional lunches or events.

Client Invoicing:

  • Effectively process invoices for clients served by the Managing Partner. This includes preparing and sending invoices within agreed timelines, verifying billing details' accuracy, tracking payments, and promptly resolving any billing-related issues.

Your profile

  • Solid experience in administrative management, including handling emails, phone calls, mail, and documents.
  • Demonstrated ability to handle client requests, perform billing, and ensure payment tracking.
  • Proven skills in organization and planning, especially in organizing business trips and coordinating events and training sessions.
  • Ability to translate documents between French and English.
  • Adaptability and versatility, with the ability to work autonomously in a dynamic environment.
  • Attention to detail and precision in document management, billing, and payment tracking.
  • Proficiency in French and English, to effectively interact with all our clients in Quebec and beyond.
