We are seeking a creative, dynamic, committed professional to join our team:

HR Assistant - Occasional Teaching Division

One (1) Year Term Assignment effective March 3, 2025

Monday - Friday, 35 hours per week

ESP, Level 5 - $47,736 to $59,467 per annum

Under the direction of the Team Manager, HR Services and/or Human Resources Advisor, the Human Resources Assistant provides administrative support to the HR Services Occasional Teaching division, and serves as the frontline contact for all employee inquiries. Responsibilities include, but are not limited to:

Reviewing and processing a high volume of new hire packages in a timely and efficient manner;

Maintaining HR customer service telephone line; and forwarding calls/messages to appropriate personnel;

Responding to phone and email inquiries; providing general information on staffing/hiring process, terms and conditions of employment, collective agreements, handbooks, and policies and procedures;

Creating and maintaining human resources files;

Maintains supply lists and records, including updating casual information in Apply to Education;

Performing data entry and maintaining a variety of HR databases and spreadsheets;

Preparing and composing a variety of routine correspondence;

Participating in career and hiring events as needed.

Qualifications

A community college diploma in office administration and/or human resources and 2-3 years of relevant experience. Experience working in a human resources environment is preferred. An equivalent combination of education and experience may also be considered.

Ability to work in both English and French is an asset.

Knowledge of human resources processes, related Board policies and procedures, and relevant collective agreements and/or handbooks.

Proficiency with Word and Excel and Google Docs/Sheets in order to generate and track large volumes of correspondence and other related HR documents.

Intermediate to Advanced level of proficiency with other HR software such as, HR/Payroll Integrated Systems (K212) and Applicant Tracking Systems, such as Apply to Education.

Essential to this position is the ability to organize and manage workload, multiple & conflicting priorities and demands while meeting daily and weekly deadlines.

Excellent interpersonal and communication skills required for exchanging, directing and/or providing general HR information to others using tact, diplomacy and discretion.

Protecting confidentiality, integrity and privacy of employee information and files.

Must be able to demonstrate initiative and use good judgment skills.

Demonstrates a commitment to customer service, and ability to work independently and with minimal supervision.

bargaining unit) will be considered only if applications from 1 & 2 have

been exhausted.
