PAYROLL ASSISTANT

Location: OCDSB Administration Building; 133 Greenbank Road Nepean, ON

Position Status: 1.0 Regular, Full-time, 12 month work year

Hours of Work: Monday to Friday, 35 hours per week

Affiliation: OSSTF District 25 - Educational Support Professionals (ESP)

Salary range: $47,736 to $59,467 per annum (Level 5)

Job Summary

Reporting to the Team Manager, Payroll, and under the general supervision of the Payroll Team Lead, the Payroll Assistant assists the Payroll Analyst in performing all tasks related to full cycle payroll processing on a biweekly basis (approximately 12,000 employees) for Administrative and Support, Academic, Occasional teaching, and Continuing Education. This position is responsible for processing all forms of timesheets, setting up new hire documentation, and scheduling and processing payroll in accordance with respective Board policies and procedures, Collective Agreements, Employment Standards, and payroll legislation to ensure payroll is completed accurately and on time. The Payroll Assistant is a main lead in answering general inquiries from District staff.

Qualifications

  • Completion of a two-year community college diploma in Business Administration or Accounting and two (2) years of payroll experience in a complex multi-union environment; an equivalent combination of education and experience may also be considered;
  • Certification in Payroll Compliance Professional through the National Payroll Institute (NPI); or is working towards NPI certification would be considered an asset;
  • Knowledge of relevant Board policies and procedures, Employment Standards Act, and payroll legislation;
  • Knowledge of payroll and accounting procedures; computerized payroll systems and year-to-date fields;
  • Proficient in the use of word-processing, spreadsheets and databases;
  • Working knowledge of K212 Human Resources and Payroll (K212 HRP) is considered an asset;
  • Organization and time management skills to prioritize and juggle multiple demands and meet weekly deadlines; Ability to work under strict and sometimes inflexible deadlines;
  • Interpersonal and communication skills to provide, clarify and explain information to Board personnel at all levels;
  • Analytical skills to review and analyze large amounts of data;
  • Initiative and judgment skills to action pay , make adjustments, and for identifying and resolving problems/discrepancies;
  • Ability to use tact, diplomacy and discretion when dealing with confidential information;
  • Ability to work independently, with minimum supervision and as part of a team.
