Under the direction of the Team Lead - Human Resources Coordinator, the Administrative Assistant provides a broad range of administrative services to assist with the effective management of employee relations.
Key Accountabilities Include:
Providing administrative support to the HR Officers and the Team Lead
Support the full recruitment life cycle, including drafting and posting job opportunities on various platforms (Apply to Education, LinkedIn, Indeed, etc.), reviewing applications, scheduling interviews, administering tests, and preparing related materials
Supporting the various transfer processes
Administrative duties for all OCSB casual staffing and communicating with casual employees regarding their employment status
Provide guidance to staff on Board staffing policies and procedures
Maintaining support documentation for various processes as well as preparing data for various reports and summaries
Respond promptly to inquiries from employees, departments, schools, external organizations, and the general public via email and phone
Provide support with implementing HR initiatives as directed
Performing other administrative duties as assigned
Required Qualifications:
One year of post secondary education
3 years of administrative experience
Proficient with Google Suite (Gmail, Forms, Sheets, Drive, etc.), spreadsheets and database management
Demonstrated attention to detail
Excellent organizational and communication skills
Strong analytical and time management skills
Ability to create and maintain strong working relationships with stakeholders
Individuals who possess an equivalent combination of education and experience may also be considered
In addition, the following will be considered an asset:
Completion of a post secondary degree/diploma/certificate in a related field
Experience with HR processes and databases
Experience with Apply To Education
Experience with Laserfiche
Previous school board experience
This is a permanent full time (1.0 FTE) assignment with a start date as soon as possible. The annual salary range for this role is $52,846 - $64,476 . There is also a comprehensive benefits and pension plan available.
