What is the opportunity?

An important member of RBC Royal Trust (RT), the Regional Support Administrator is responsible for providing timely, efficient, and accurate support to RT employees within the region. You will be responsible for the control of client files and will provide office support and administrative assistance to ensure optimal day-to-day operations within the region.

What will you do?

  • Greet clients at reception, ensuring they are well received by preparing the meeting room before and after each client visit. Coordinate conference room schedules and ensure respect of the room reservations.
  • Scan, sort, and organize incoming mail to respective teams within 24 hours of receipt.
  • Manage couriers, stationery and office supplies, cheque deposits, etc.
  • Submit and manage specific invoices and review the monthly region spend reports, escalating any discrepancy, as required.
  • Efficiently and rapidly manage account archives, ensuring documents are scanned and properly retained in the account file according to retention schedule requirements.
  • Assist, as needed, with incoming business requests and special projects from the Regional Support Managers, Trust Officers, Will and Estate Advisors, Estate teams, etc.
  • Help coordinate office tasks, including, but not limited to, onboarding new hires, obtaining or replacing office passes, systems accesses, and other technology needs.
  • Complete office management tasks, including liaising with building management for repairs, temperature adjustments, cleaning requests, etc. Communicate building management announcements to staff.

What do you need to succeed?
Must-have

  • Minimum of 2 years of office coordination experience, preferably within the financial services industry
  • Post-secondary education, Office Administration Certificate, related courses and training, etc.
  • Bilingualism (English and French) required, as you will regularly serve our clients and do business with RBC partners and/or employees across Canada with English and French speaking needs
  • Ability to work effectively with others and be perceived as a professional business partner
  • Strong working knowledge of Microsoft 365 apps

  • Ability to work under pressure and to meet strict deadlines
  • Excellent organizational skills and meticulous attention to detail
  • Self-motivated attitude with the ability to work with minimal supervision
