New Westminster Schools Career Opportunity SENIOR PAYROLL CLERK

Under the Direction of the Secretary Treasurer or designate, the Senior Payroll Clerk performs a variety of duties related to the preparation of various payrolls including the administration of related benefits.

Job Function:

Performs functions necessary to run payrolls including balancing batches, running payroll processing, updating payroll system for notifications from HR, balancing payroll control figures and completing electronic funds transfers to the bank.

Processes payroll ensuring compliance the annual pay schedule and with collective agreements and federal/provincial requirements

Responsible for the integrity and control of all Payroll Data Processing functions including the management and maintenance of master pay-related files for salaried employees

Maintains appropriate documentation files supporting all payroll transactions

Monitors sick leave, pension credits, leaves of absence, employee history, union business, discretionary days, records of employment, long and short-term disabilities, pay rates, bank accounts and leave plans as require

Reconciles general ledger to payroll records and prepare remittances to Canada Revenue Agency, benefit carrier, pension plans and unions

Ensures benefits and payroll data are reconciled to the general ledger and external vendor statement in the case of benefits.

Submit new applications, changes, deletion or additions of benefits to each benefit carrier

Respond to telephone, email and in-person inquiries from district staff regarding payroll and benefit issues.

Prepares records of employment (ROE) as required and T4 slips annually

Prepares various calculations for employee payouts, when required

Liaises with Human Resources Department

Performs other comparable duties that are within the area of knowledge and skills required of the job.

Qualifications:

Grade 12 graduation, and Canadian Payroll Association Payroll Compliance Practitioner Certification, or equivalent postsecondary accounting/payroll courses

Minimum 3 years prior payroll and benefits experience in a large, complex, computerized, unionized environment, including remittance and reconciliation of pension contributions

Current knowledge of Federal and Provincial payroll regulations and the Employment Standards Act

Ability to organize a wide range of duties effectively and efficiently, and to work accurately under pressure at a high level of quality with constant interruptions

Strong analytical skills

Ability to work with discretion, confidentiality, and with minimum supervision

Knowledge and experience in year end processes and government reporting

Ability to reconcile payroll-related information from health carriers to accounting system

Ability to understand and effectively carry out oral and written instructions

Ability to establish and maintain good working relationships with all staff, and the public

Advanced level of training and experience with Microsoft Office programs, Excel and Word

Hours of Work & Salary:

35 hours per week, Monday - Friday, at $37,14 per hour, 8:00am to 3:30pm

Temporary position, October 2024 to June 2026, with possibility of extension, or could end sooner upon return of the incumbent
