Administrative Assistant
Temporary, full-time (35 hr/wk)
Effective Immediately - November 21, 2024 or return of incumbent
The Administrative Assistant is responsible for the reception, clerical, secretarial and record keeping work of considerable variety and complexity in the operation of a school office. This position requires independence of judgment and action in dealing with the public, staff and students on a variety of matters relating to school operations. Specific tasks will vary depending on location.
Examples of Work
First point of contact for all school visitors
Compose and respond to correspondence as required (including school newsletter).
Schedule appointments.
Prepare and photocopy a variety of materials.
Prepares, processes and maintains records, as delegated, relating to the operation of the site and as necessary for Ministry reporting purposes (including 1701s, first aid/injury reports, and student records).
Perform clerical work relating to material and service purchasing.
Collect cash, issue receipts, prepare cash statements, keep accounts to trial balance and bank reconciliation, and bank deposits.
Process incoming and outgoing mail (internal and external).
Operate a variety of office equipment.
Maintain a positive working relationship with school staff/students/parents/public.
Provide occasional student supervision in the absence of supervisor.
Perform other duties as assigned.
Required Knowledge, Abilities and Skills
Proficient skill of Microsoft Office Suite or equivalent and related Student Information Systems (SIS).
Keyboarding skills of 60 words per minute or proof of competency in keyboarding skills.
Have experience with current office equipment and be able to adapt to technological change.
Knowledge of Business English, punctuation, spelling and Business Math.
Have training and/or experience in office procedures.
Possess an ability to perform basic accounting.
Ability to work under limited supervision.
Ability to use discretion when dealing with confidential matters.
Ability to be adaptable to unpredictable situations.
Ability to work well with students, parents, school staff and other district personnel.
Ability to multi-task, prioritize, meet deadlines and deal with interruptions.
Required Training, Experience and Certification
High school Diploma or equivalent
Office Administration Certificate plus one year of specific experience or an equivalent combination of training and experience.
One to two years recent and relevant experience in accounting, bookkeeping and office administration in a computerized environment, ideally in a large school setting.
First Aid would be an asset.
Rate of pay
$29.37/hr, as per Collective Agreement 440
