About Us:

Eagle Vizion is a leading provider in advanced optical sorting technology. Our Service Department plays a critical role in ensuring smooth operations and exceptional customer satisfaction. We are looking for a detail-oriented and organized Service Department Administrator to join our dynamic team and contribute to our continued success.

Position Summary:

The Service Department Administrator will be responsible for the smooth and efficient running of all administrative functions within the department. Additionally, this role will be instrumental in building up the Service Department, establishing processes and best practices that ensure long-term efficiency and customer satisfaction. You will serve as the main point of contact for both internal teams and external customers, ensuring that service requests are managed and executed efficiently.

Key Responsibilities:

- Manage daily administrative tasks within the Service Department.

- Coordinate service schedules and technician assignments.

- Maintain service records, customer files, and department databases.

- Handle inbound and outbound communication with clients, suppliers, and service teams.

- Process and track service orders, invoices, and contracts.

- Assist in the preparation of reports and department performance analysis.

- Build and develop the Service Department, establishing processes, standards, and workflows.

- Monitor parts inventory and service materials, ensuring adequate stock levels.

- Support the Service Manager with various administrative tasks and projects.

- Respond to customer inquiries and escalate service issues as needed.

Qualifications:

- Minimum of 7 years of experience in support roles, with a strong emphasis on electrical diagnostics.

- Previous experience in an administrative or coordinator role, ideally within a service department.

- Bilingual in English and French (spoken and written).

- Strong organizational and multitasking skills.

- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

- Excellent communication skills, both written and verbal.

- Ability to work independently and as part of a team.

- Problem-solving skills and attention to detail.

- Experience with service management software is a plus.
