Job Description:

This is a Temporary Contract Position for 1 Year

Location: In-Office (Waterloo King)

The Digital Mail Services Administrator plays a key role in ensuring effective digital imaging, data lifting and key completion of documents by scanning and indexing documents correctly and efficiently. In this role, you will ensure that physical mail which cannot be scanned is sorted and routed to appropriate business lines. You will rotate between operating a scanner and performing data entry. By reporting issues, gaps and opportunities to the Team Leader, you ensure that each document received is handled with caution and due diligence, and perform other duties as required.

What will you do?

  • As the last person to work with the physical document, ensure effective data lift and key completion by scanning each document correctly

  • Effectively sorting documents and streamline claims to the appropriate area, reducing potential re-work

  • Prepping and scanning the documents in order to meet service level agreements between Canadian Document Services and the Health & Dental Claims area

  • Material handling, including the distribution of mail to scanner operators, document retrieval, and processing interdepartmental requests to retrieve e-faxes from the Group Benefits Fax database

  • Match the e-faxes to Service Requests generated by the Customer Care Centre, and route the attached e-faxes to the Health & Dental Claims area

  • Ensure all documents received are handled safely and expedited to the appropriate departments in a timely manner

  • Handle eLearning modules and assignments accurately

What do you need to succeed?

  • Ability to maintain a high level of productivity, accuracy and attention to detail within structured supervisory guidelines

  • Computer literacy with an ability to learn various systems efficiently (MS Office Suite, Lotus Notes, Ultera, Citrix/Kofax)

  • Effective verbal and written communication skills in English (bilingualism is an asset)

  • Flexible, adaptable, with an ability to recognize opportunities to initiate change that will increase the department’s efficiency.

  • Ability to work independently with minimum direction and frequent interruptions

Unique Work Attributes:

  • Must be able to obtain RCMP Reliability Security Clearance before a start date can be confirmed (includes fingerprinting).

  • As the role is in-office, must be available to work Monday through Friday, from 7:30 AM to 3:30 PM and commute to the Waterloo King office.

  • The role involves tasks which are of a repetitive nature.

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
