Job Description:

The role of the Executive Assistant/HR Coordinator is critical to the efficient operation of Sun Life Canada’s HR team. The incumbent will be responsible for providing effective and quality administrative support for the SVP HR, Sun Life Canada. This support includes administrative and project management support to the team.

The role requires the incumbent to be goal-oriented and driven to achieve excellence, to be direct with high empathy for organizational dynamics, and to demonstrate a high regard for confidentiality and judgement.

What will you do?

  • Manages executive’s short-term and long-term calendar and schedule based on a practical understanding of the business priorities

  • Works with SVP of HR to prepare and distribute reports, presentations, and communications to a variety of audiences

  • Assists in moving forward the paperless agenda, leveraging digital skills and technologies

  • Manages all aspects of the Executive Recruiting (Canada) calendar to ensure candidate interviews, search firm and debrief meetings are prioritized as appropriate

  • Coordinates all administrative commitments for the Executive Recruiting (Canada) function, such as updating the SharePoint site, managing purchase orders and processing invoices for search firms, keeping organized of all search files (internally and externally)

  • Logistics coordination including booking meeting rooms, arrange catering and technology services for the SVP HR, team and guests as required

  • Contributes and assists the SVP of HR and the team with project assignments by providing administrative support and coordination, researching, and reporting as needed

  • Identifies opportunities for process improvements, anticipates potential problems, and quick with shifting priorities

  • Helps with yearly budgeting and reporting, liaising with Finance where necessary

  • Arranges travel and manages expenses for the SVP of HR, Sun Life Canada

  • Effectively works with other EA’s in scheduling and coordination for meetings and other needs

  • May perform other administrative duties as required

What do you need to succeed?

  • Post-secondary degree or equivalent experience

  • A minimum of 5 years experience providing administrative and operational support, project management and HR coordination to one or more senior leaders

  • Intermediate to advanced level skills in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint)

  • Experience with OneNote, OneDrive, Project and Visio is an asset

  • Client centric, resourceful, detail-oriented, forward thinking with innovative and determined mindset

  • Energetic self-starter who is proactive and takes on initiatives

  • Ability to work independently in a fast-paced and complex environment

  • Proven organizational and time management skills while managing changing priorities with ease

  • Responsive, flexible, and being a team player

  • Bilingual (French and English) is an asset

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
