Summary of Duties
 
The Capital Equipment Planning department of Sunnybrook Health Science Centre has an opening for a Capital Planning Coordinator. The Capital Planning Coordinator will act as a primary resource in support of all operational function for the Capital Equipment Planning Department. The Coordinator will be responsible for leading and supporting procurement processes and activities at Sunnybrook for all Capital inquires. The Coordinator will ensure collaboration with internal departments and external partners such as vendors, Mohawk Medbuy Corporation and group purchasing organizations to support new contract requests and ensure contract life spans are fully managed. The Coordinator will coordinate all aspects of the hospital’s equipment planning needs and specifically in managing fleet replacement and prioritization strategies for the organization. The successful candidate must be a self-starter with the ability to work independently in a fast paced environment along with excellent inter-personal skills and a client focused attitude while maintaining positive working relationships.
 
Capital Planning Coordinator will be responsible for:
 
Reporting to the Manager of Capital and Treasury, this position will be responsible for managing the overall capital procurement portfolio and provide ongoing leadership, coordination and support to affected stakeholders as well as facilitate the corporate fleet management from a capital equipment planning perspective including:
 
  • Collaborate between internal stakeholders to ensure pre-procurement needs are met prior to a purchase being initiated
  • Determine optimal equipment replacement time & strategy
  • Manage communication between internal and external stakeholders throughout the capital planning & procurement process
  • Provide internal stakeholders assistance in retrieving required quotes, through vendor negotiations
  • Represent the organization in corporate RFP processes and sourcing for a variety of equipment types
  • Lead and facilitate the annual capital submission process and site wide fleet management process
  • Work with internal stakeholders towards developing a draft capital plan
  • Prepare and facilitate materials required for the Capital Management Committee and board approvals
  • Update the Capital portal on a periodic bases to ensure up-to-date information is maintained and available to all internal stakeholders
  • Provide assistance and support in maintain the capital equipment purchases trackers and documentation
  • Work with internal stakeholders to determine time of spent, ETA on equipment and status of equipment to aid Finance team in capital forecasting for quarter end and annual reviews.
  • Provide support and assistance to obtain the vision/goal for small/medium scale projects; utilizes information received to facilitate the project planning, development and implementation process, focusing on two or more projects at a given time
  • Conducts needs assessment for small/medium size projects to facilitate defining project plans, deliverables, schedules/timelines to meet identified goals
  • Ensures appropriate mechanisms and tools are in place for the optimal delivery of projects and co-ordination of deliveries.
  • Assist current projects lead with the process of project requisitions, tracking requisitions and costs to WBS dollars along with building an equipment list and obtaining/maintaining budgetary costs.
  • Work with Plexxus and end users to create and maintain an inventory of contracts for all capital related equipment
  • Review and Monitor equipment contracts to ensure contracts are renewed before expiry or alternative solutions are identified along with internal and external stakeholders
 
Qualifications/Skills:
  • A proactive self-starter with 2 to 5 years relevant experience in an acute hospital environment, large organization capital equipment planning experience preferred
  • Completion of a recognized 4 year bachelor’s degree in a related field
  • Certification designation of PMP or CAPM, considered an asset
  • Ability to handle multiple job responsibilities, set priorities, and work with all levels of staff while appreciating the responsibility of meeting tight and conflicting deadlines
  • Excellent written and oral communication
  • Knowledge of equipment including IT and clinical requirements
  • Strong financial and problem-solving abilities
  • Proven organizational, coordination, communication and interpersonal skills
  • Ability to work independently and as a team member
  • Advanced level Microsoft Office experience required
