Transportation Administrative Assistant
Learning Support Centre - High Prairie
High Prairie School Division's Transportation Department serves 16 schools in 5 communities. 44 drivers transport approximately 2,000 students on a daily basis. Our fleet of buses travel over 1 million kilometres per year inclusive of 1,300 field trips and regular student transport to and from school.
Duties include, but not limited to:
Routing and Planning
Using Division software plan all bus routes to efficiently accommodate transportation for all eligible students with in the division
Register students for busing in a timely matter
Schedule all Field Trips and coordinate bus rentals
Support and assist bus drivers as required
Provide orientation training to new drivers
Provide driver training for Motive program
Complete and submit annual transportation grant
Maintain integrity of databases and student transportation records
Ensure that transportation receivables are provided to the accounting department on a regular and ongoing basis as needed.
Driving School
Coordinate driving instructors to provide Class 2S and SBDIP training
Maintain Driving School records in accordance with the Alberta Transportation Driving Schools Policy and Procedure
Support and assist Driving Instructors as required
Complete and submit annual Driving School license application
Provide Driving School receivables to the accounting department as required
Complete and submit quarterly training grant applications
Office Duties
Perform general office duties such as answering telephone inquiries, filing, answers to routine letters and data entry.
Assist Director of Transportation with maintenance of all transportation records and required documents
Assist Director of Transportation with payables as required
Assist Director of Transportation to coordinate First Aid and Air Brake courses
Completion of timesheets and other duties as required in the Director of Transportation’s absence
Provide monthly driver payment requisitions to accounting in a timely manner
Qualifications:
High school diploma supplemented by related courses and experience
High degree of proficiency in computer applications, particularly Microsoft Office, and Google Suite
Excellent oral and written communication skills, interpersonal skills
Ability to work independently and have problem-solving, multi-tasking and time management skills
Strong ability to adapt and manage change with frequent interruptions
Ability to deal with sensitive and discretionary matters and maintain strict confidentiality
