With a staff of 14,000, the TCDSB is a dynamic school board and is seeking a full time Officer, Superintendent within the Indigenous Education, Equity & Community Relations And Mathematic Curriculum & Innovation department.

key accountabilities

Reporting to and under the direction of both the Superintendent of Equity, Diversity, Inclusion, Indigenous Education and Community Relations and the Superintendent of Mathematics Curriculum & Innovation, this position has dual reporting and plays a vital role in providing administrative support in efficient operations of the departments.

Perform general office duties and administrative support for the Superintendents; maintain filing systems in accordance with Board’s policy; maintain the Superintendents and department event(s) calendar(s) e.g. accepting, creating, scheduling of meetings

Oversee divisional administrative processes/procedures with respect to staffing; scheduling; delegation of workload; provision of back up administrative support to other management staff;

Assist in the preparation and monitoring of departmental budgets and prepare cheque requisitions

Send and sign correspondence on behalf of the Superintendents

Maintain confidentiality based on the requirement to access, review, maintain and distribute sensitive departmental, materials, and records

Develop and implement new tools and methods for the continual improvement and efficiency of practices and processes

Facilitate effective and collaborative communication between internal departments, and other stakeholders and external agencies such as Ministry of Education, private and public sector offices, Advisory Committee members, community advocacy groups, etc.

Assist with the preparation of correspondence ie. Board reports, minutes and agendas etc.

Record meeting minutes as required

Collaborate with other administrative assistants within the Curriculum department to support initiatives, programs, processes and Ministry reporting

Respond to/redirect enquiries from parents, schools, or other stakeholders, in accordance with established procedures and guidelines

Perform any other duties as assigned

Minimum 2-year College Diploma in Office Administration program(s)

Minimum two (2) years’ experience in a senior administrative support role

Experience working collaboratively with multiple stakeholders (internal and external)

Excellent communication and interpersonal skills

Proficiency in Microsoft Office Suites

Proven expertise in responding and facilitating sensitive and confidential matters

Excellent interpersonal and organizational skills in applying a high level of diplomacy and confidentiality

Demonstrated effective organizational skills, coordination of multiple tasks, and ability to manage constant demands, deadlines, and interruptions

Availability and flexibility to work outside core office hours as required

Experience with SAP and E-Scribe an asset

Experience working in an equity, inclusion & human rights environment is an asset

This is a non-union Level 10 position with a salary range of $69,305 - $85,266 along with comprehensive benefits including eligibility for pension plan and vacation.
