The Search Coordinator analyses and utilizes HLA molecular and serological results to identify suitable matched donors, to join the Bone Marrow Transplant team(BMT) as a Donor Search Coordinator. The primary responsibilities include: arranging HLA typing for siblings, parents & children & managing and coordinating the unrelated donor search process from search initiation through to donor selection and confirmation; evaluating patient search files; serving as a liaison with Transplant Physicians, other transplant team members, patients, Canadian Blood Services/OneMatch to find suitable stem cell donors for transplant patients; providing HLA technical information to the BMT team; updating donor HLA typing information and verifying accuracy; ensuring search process, system and search reports are functioning properly and kept current; performing cross-functional and other duties consistent with the job classification, as assigned and/or required.

II. KEY RESPONSIBILITIES

1. Arranges HLA testing for siblings, children & parents as requested.

Report all patient data to OneMatch and to Bone Marrow Donors Worldwide (BMDW)

2. Manages stem cell donor searches, from search initiation through to donor selection and confirmation/ SCNSS

Report all patient data to OneMatch and to Bone Marrow Donors Worldwide (BMDW)

Initiate donor search

Tracks and follows-up on outstanding HLA results and search requests

Liaise with OneMatch to ensure that all searches are received and interpreted correctly 2. Evaluates patient search files

Reviews patient search files to ensure that all donor options are being considered

Communicates concerns over patient search strategies to BMT Physicians and respective BMT team members

Reviews patient files to determine alternate donors for patients in situations where there are concerns or difficulties with donors currently chosen

Informs BMT Physicians and team members of search analysis as to the likelihood that patients will find suitable donors

Provides written summary of search analysis

Reviews patient files to ensure that all possible avenues have been considered for the patient

3. Provides HLA technical information to BMT team

Provides information on HLA nomenclature, serological and molecular typing conversions, and scientific typing procedures to BMT team

Reviews HLA typing information for patients and donors for scientific accuracy and notifies HLA lab to correct inadequacies as they are identified

Keeps current with scientific information by reading scientific journals and imparting acquired information

Reviews work up paperwork for accuracy of HLA typing information

Keeps electronic record of patient-donor matching level at workup

4. Updates donor HLA typing information and verifies accuracy

Enters confirmatory typing results for all donors

Ensures all discrepant typing(s) are investigated, followed up and reported; keeps donor typing discrepancy statistics

Enters any new donor typing(s) from laboratory reports

Corrects inaccuracies and investigates any apparent discrepancies

Communicates with HLA laboratory staff to resolve any donor typing discrepancy issues

5. Ensures search process, system and search reports are functioning properly and kept current

Monitors all patient search reports to ensure donor and patient results are displayed accurately, as expected

Identifies process and system improvements

Maintains involvement in any data management/database development, changes or upgrades

6. Performs cross-functional and other duties consistent with the job classification, as assigned and/or required.

Experience:

- One year practical and related experience and/or on-the-job training required.

- A demonstrated ability to analyze HLA molecular and serological associations required.

- Experience working with EPIC EMR for managing referrals, appointment scheduling, and standard clinical operations is required.

- Experience working with Microsoft Office environment is preferred

- Experience working in a healthcare environment is an asset

- Knowledge of medical terminology is an asset

- Excellent organizational and time management skills

- Able to operate effectively in an interdisciplinary team

- An equivalent combination of education, training and experience may be considered.

- Excellent verbal and written communication skills required.
