The Production Coordinator is tasked with orchestrating the delivery of promotional campaigns across various marketing channels. This role acts as a linchpin between strategy development and campaign execution, working diligently under the guidance of the Production Manager to transform marketing initiatives into tangible results.
Production scheduling and oversight
- Develop and maintain detailed project schedules, keeping a pulse on all moving parts to ensure on-time completion of tasks
- Proactively identify and mitigate risks that could lead to project delays, coordinating with the Production Manager to streamline processes and maintain momentum
- Regularly review campaign plans and timelines, offering strategic adjustments to enhance execution based on evolving priorities and resources
- Translate strategic marketing plans into actionable production tasks, ensuring each campaign element is thoughtfully executed
- Continuously adapt workflows to incorporate the latest marketing trends and organizational changes, striving to enhance campaign effectiveness
Workflow facilitation and process improvement
- Serve as a bridge between Marketing Specialists and the production team, facilitating clear and consistent communication to keep projects aligned with strategic objectives
- Participate in regular stand-up meetings to present progress updates, gather feedback, and discuss resource allocation with the wider marketing team
- Identify opportunities for process optimization and work with the Production Manager to implement solutions that increase efficiency
- Document best practices and create standard operating procedures for production-related activities, sharing knowledge with the marketing team
Quality control and resource tracking
- Work closely with the Creative Lead to ensure all promotional materials adhere to brand guidelines and quality standards
- Review proofs and drafts with a critical eye, providing constructive feedback to the creative team to refine final outputs
- Keep track of expenditures against the marketing budget, flagging concerns to the Production Manager and suggesting cost-saving measures when possible
- Process invoices and manage purchase orders, ensuring all financial transactions are accounted for and reconciled promptly
Team leadership and supervision
- Supervise and mentor part-time support staff, delegating tasks effectively while fostering an environment of learning and professional development
- Act as a point of contact for the support team, offering guidance and assistance in overcoming project hurdles
Vendor relations and stakeholder management
- Cultivate strong relationships with external vendors, negotiating terms and managing contracts to support marketing endeavors
- Engage with internal stakeholders from governance, advocacy, events, and clubs to understand their promotional needs and ensure their visions are brought to life
- High school diploma
- College diploma in print production, business, marketing, and/or operations considered a strong asset
- Minimum of two years of experience in marketing production or a similar coordination role within a complex organizational structure
- Proven track record of managing production timelines and delivering materials on schedule
- Proficient in project management software and Microsoft Office Suite
- Strong understanding of marketing strategies and production processes
- Excellent organizational skills with an aptitude for multitasking and prioritization
- Ability to work collaboratively in a team environment and maintain strong professional relationships
- Exceptional communication skills, both written and verbal
