Job Summary: \u00A0

The Labour and Employee Relations Coordinator provides a wide variety of labour and employee\u00A0relations support to the Senior Director of Labour and Employee Relations and all Labour and \u00A0Employee Relations Officers (LRO), in collection and maintenance of qualitative and quantitative\u00A0data including all VON collective agreements in order to inform and monitor Labour and Employee\u00A0Relations (LR) policy, strategy and service. The Coordinator also provides assistance in the\u00A0preparation of negotiation proposals and supports collective agreement negotiations in matters\u00A0before arbitration panels and the Labour Relations Board. \u00A0

Key Responsibilities: \u00A0
  • Provides first level collective agreement interpretation and administration providing accurate and timely information to questions from employees and VON leadership. \u00A0
  • Performs environmental scan and research for bargaining strategies. \u00A0
  • Handles collective agreement administration to ensure all compliance standards are met on an ongoing basis.\u00A0\u00A0
  • Acts as a first point of contact for all legal administration of labour files. \u00A0
  • Maintains internal database of all VON collective agreements (CAs) as accurate and current CAs are essential for bargaining, the development of strategies and as a reference for stakeholders (Labour and Employee Relations and Operations). \u00A0
  • Develops and maintains all grievance and arbitration files. \u00A0
  • Researches and develops documentation for labour and employee matters, including\u00A0investigations as directed by Labour and Employee Relations (LR) staff. \u00A0
  • Works with the LRO and other HR colleagues to provide information, answer enquiries and\u00A0ensure data records are accurate and maintained. \u00A0
  • Maintains working knowledge of provincial labour legislation and best practices and\u00A0contributes to changes to VON policies and practices as required. \u00A0
  • Participates in LR projects and initiatives. \u00A0
  • Drafts Step 1 grievance responses. \u00A0
  • First respondent to inquiries from the Ministry and outside agencies. \u00A0
  • Facilitates the implementation of collective agreement changes in conjunction with the Senior\u00A0Director and the LROs.\u00A0
  • Initiates and assists in the process of employee compensation changes and the associated\u00A0data processing. \u00A0
  • Maintains copies of all SAP Administration Forms for record-keeping purposes. \u00A0
  • Efficiently maintains accurate data in both the SAP and Procura systems.\u00A0
  • Maintains and distributes staffing and employee seniority lists.\u00A0
  • Responds to requests for information from employees, such as confirmation of employment, hours and seniority.\u00A0
  • Participates and supports the Senior Director in collective agreement negotiations, when required\u00A0
  • Assists with investigations and fact-finding, when required.
  • Participates in policy and LR process and practice interpretation as required.\u00A0\u00A0

External and Internal Relationships:\u00A0
  • Strong collaboration with HR colleagues, IT staff, employees and VON leadership.\u00A0
  • Support for managers with respect to information and procedures on LR issues and policy issues.
  • Regular communication with Labour and Employee Relations affiliated external stakeholders, particularly provincial representatives and legal firms.\u00A0\u00A0
Education, Designations and Experience: \u00A0
  • Degree or Diploma in Human Resources Management or equivalent. \u00A0
  • Minimum of 4 years combined experience in Business, Human Resources or with a law firm. \u00A0
  • 2 years of Labour and Employee Relations related experience is required.\u00A0\u00A0
  • Experience supporting a unionized environment is preferred. \u00A0
  • Experience in a health care and unionized environment is considered an asset. \u00A0
Skill Requirements: \u00A0
  • Proficiency in Microsoft Office software including Word, Excel and Microsoft Office Suite. \u00A0
  • Experience in working with SAP. \u00A0
  • Demonstrated commitment to working in an environment with high confidentiality and discretion. \u00A0
  • Able to work both independently and within a team. \u00A0
  • Ability to exercise tact and discretion in dealing with internal and external stakeholders. \u00A0

Working conditions and physical demands: This role requires a detail-oriented approach in a dynamic environment, with physical activity including lifting, carrying (using proper techniques), bending, reaching, kneeling, and other movements that emphasize good body mechanics. Individuals in the role are required to walk, sit, stand, and climb stairs throughout the day, with some tasks requiring fine hand movements.
