PASS - Facilities Operations Specialist

The Waterloo Catholic District School Board serves over 38,000 learners and provides services to students in 50 schools (Kindergarten to Grade 12 and adult learners) across the Waterloo Region.

General Description of Duties:

Responsible for staffing daily custodian absences, weekend overtime, coverage for school rentals.

Provide support for scheduling and tracking all absences (vacation, family related, appointments etc.)

Verification of absences, using HR software, and any necessary follow up.

Co-ordinate with Human Resource Services (HRS) on all staff leaves, accommodations, vacancies, etc.

Staff short/long term temporary placements for extended absences.

Coordinate and assist with staff onboarding including booking and preparing facilities interviews, training, and documentation.

Act as key contact for payroll department regarding Unifor payroll transactions.

Support with coordination of any Facilities Professional Development events.

Work in collaboration with Facilities Operations Supervisors to maintain databases and electronic files and preparation of professional correspondence.

Maintain confidentiality in all aspects of the position.

Provide coverage for administrative services throughout the day.

Ability to use tact, discretion, sound judgement, fair and effective problem solving and conflict resolution skills

Work independently, contribute, and be an influential member of a multidisciplinary team

Additional duties as assigned by Facilities supervisory and managerial staff.

Minimum Requirements:

Two (2) year College diploma or higher in Business Administration or Office Administration

Minimum of two (2) years of similar work experience

Demonstrate good judgment skills in difficult situations and proven ability to manage conflict.

Excellent interpersonal, organizational and communication skills (both written and verbal)

Desirable Assets:

School board or other public sector experience

Preference will be given to those candidates who are familiar with the business operating practices in the educational sector.

Experience working in or with a unionized environment would be an asset

Management or leadership courses.

Ability to work and communicate effectively in an office environment with frequent interruptions, and deadlines.

Ability to multitask daily duties with new tasks/projects.

Demonstrated initiative, problem solving skills, analytical thinking, and customer service commitment.

Superior computer skills including proficiency with Microsoft Office Suite programs, One Drive, HR software.

The ability to work with minimum supervision.

Salary Range: PASS - Level 3, $61,974.00- $72,909.00 in accordance with the PASS Terms of Employment

Hours of Work : Permanent full time; 35 hours per week
