FOI Records Clerk (E) Freedom of Information Office Educational Services Applications from employees from within the Board as well as external applicants will be accepted. However, applicants will be considered in the following order: 1) Qualified permanent ESS/OSSTF Bargaining Unit employees. 2) Qualified probationary, temporary and Temporary Hourly Rated (THR) ESS/OSSTF employees. 3) Qualified external applicants (includes employees from other Bargaining Units). Reporting to the Privacy and Records Information Management Officer the successful applicant for this Education Support Staff position Level E will work 35 hours per week, 12 months per year, effective as soon as possible. Hours of Work: TBD Responsibilities Assisting the Privacy and Records Information Management Officer with processing access to information requests under the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) and supporting external requests for records and transcripts.Facilitate archive retention, coordination and tracking in accordance with the Board's Administrative Procedure and records retention schedule.Manage the year-end turnover and retention of the Special Education files (Psychology, Speech-Language and Social Work).Collate, review and prepare documents for disclosure in accordance with Municipal Freedom of Information and Protection of Privacy Act (MFIPPA).Assist with searching for records requested by members of the public under MFIPPA and the Education Act, i.e. Transcripts, OSR's, Special Education records.Analyze transcripts and student records to ensure graduation requirements are met, i.e. credit calculations, missing credits and diploma requirements.Respond to telephone and email queries, fulfill transcript/diploma orders, transfer OSR's to other institutions ensuring proper request form is received and retained. Scan into the Electronic Document Management System files that require long term retention; Other duties as assigned. Qualifications A Post-Secondary Diploma in Information Management or a similar discipline is required;3-5 years of experience with processing FOI requests and applying knowledge of privacy legislature; Knowledge of federal, provincial and municipal access and privacy legislation is imperative; Experience with imaging software (e.g. Laserfiche) is an asset; Ability to work collaboratively as a member of a team; Working knowledge and experience with Trillium, MS Office, Word Press, Excel, GSuite, required; Possess excellent interpersonal skills; Able to communicate effectively, both orally and in written form, with staff, students and the community; Possess excellent organizational and time management skills; Possess the ability to complete assigned duties with minimal supervision; and Previous work experience in a secondary school office would be an asset.
