Directly accountable to the Program Manager of the Day Hospital, the Secretary provides comprehensive secretarial and clerical support services to the Program Director, Clinical Director and other Day Hospital staff. Duties will include: typing/word processing; attending meetings/conferences and recording minutes/case reviews; handling new referrals; performing receptionist duties; scheduling appointments and arranging meetings; making travel arrangements; filing; maintaining Day Hospital resource library/file; maintaining financial records as indicated; ordering office supplies; collecting/compiling statistics as required; performing other related duties as assigned.
Performs all duties in accordance with established health and safety regulations/guidelines, policies and procedures (e.g. utilizing personal, protective equipment as per safe work procedures). Notifies their Manager or their designates (i.e. supervisors) of all occurrences, injuries illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.
- Two (2) years related experience in a health care setting, preferably in the area of Geriatric Medicine/Rehabilitation.
- Grade 12 (Manitoba Standard) or equivalent.
- Successful completion of a Medical Secretarial program or equivalent.
- Demonstrates knowledge and support of:
- The vision, values, goals, and objectives of the Winnipeg Regional Health Authority and the Deer Lodge Centre.
- The Deer Lodge Centre's Mission Statement, Residents Bill of Rights and Code of Conduct.
- Personal Health Information Act, Protection of Persons in Care Act, Workplace Hazardous Material Information System (WHMIS), Principles of Routine Practices (Universal Precautions) and other legislated acts.
- Knowledge of medical terminology.
- Knowledge of office practices and procedures including filing, indexing, recording systems and proper operation of modern office equipment.
- Ability to read, write, speak and understand English with superior understanding of grammar, spelling and punctuation rules.
- Ability to organize and prioritize workload efficiently.
- Ability to retain information of a confidential basis.
- Ability to work independently with minimal supervision and manage workload despite frequent interruptions.
- Ability to meet specified deadlines.
- Ability to schedule appointments and arrange meetings.
- Ability to perform accurate mathematical calculations.
- Relates effectively and harmoniously with clients and their families, Day Hospital staff, the general public, other DLC staff/departments and outside agencies.
- Shorthand/speedwriting and dictatyping skills.
- Thorough, discrete, reliable, mature.
- Well-developed personal computer skills, including keyboarding speed of 65 wpm with less than 5% error and use of Microsoft Office.
- May be required to work extended hours.
- May involve exposure to disease, radiation, toxic materials, noise, allergens, etc.
- May encounter aggressive and/or agitated patients/residents/staff/visitors.
This term position may end earlier as outlined in your collective agreement.
This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
