Description
The main focus of this role will be to provide project coordination support to Project / Program Managers and Program Directors. Throughout the course of the project, the project coordinator is in charge of keeping track of any changes, progress and issues, and adjusting the schedule and other project details as necessary. This includes notifying other departments or workers if needed. The project coordinator should compile all of the project details and developments in a summary profile that is distributed to other workers, ensuring that everyone is up-to-date (status reports).
Interaction with various subject matter experts will be required to provide feedback on quality and completeness of project documentation.
This role will be responsible for supporting key cross functional projects and their underlying activities within the organization. Key activities to include but not limited to:
• Work under the guidance and leadership of a Project / Program Manager (and/or Director, Program Management) to perform project coordinator duties
• The development of project documentation for cross-functional projects including meeting minutes, RAID items (risks, actions, issues and decisions), project plans (Work Breakdown Schedules) and ensure all other project-based documents are maintained throughout the project life cycle.
• Liaison with cross function teams to track project progress ensuring the effective preparation (scheduling) and delivery of project events and meetings.
• Ongoing evaluation of project activity and reporting on project progress (project meeting notes, weekly status reports, updates to Risk matrix, and registers (action/issue, decision).
• Developing and maintaining documentation for Xplore Inc. systems/tools and operational processes.
• Cross functional administration support to define and evaluate projects
• Generating portfolio level reports and data analysis.
• Demonstrated advanced verbal and written communication skills (English) with the ability to position communication to align with Project goals and objectives and business goals and corporate messaging
• Exceptional interpersonal skills and a demonstrated ability to communicate with all levels of the organization
• Strong time management skills with an attention to detail
• Professionalism and tact in representing the company to our customers (both internal and external)
• A strong working knowledge of MS Office (in particular Outlook, MS Project, Word, Excel, and PowerPoint).
• Multi-tasking comes naturally and the ability to be a member of and shift smoothly between and amongst many different projects and initiatives
• Comfortable working within a fast-paced, dynamic environment
• Comfortable working without direct supervision
• Demonstrated experience working within cross- functional teams and/or projects including project administration
• Previous experience in a customer focused environment is desirable (min. 2 years)
• Post-secondary education in a related field combined with 2-3 years of relevant work experience
