Invites applications for the position of:

Secretary, Psychological Services

Exempt Level 2B (Salary $55,558 - 58,554 per annum)

Position Summary:

Under the direction of the Lead & Manager of Psychological Services, Mental Health Lead, Supervisor of BRS & ABA, the Secretary, Psychological Services performs various clerical duties to assist and support the Psychological Services, Mental Health Services, Behaviour Resource Services and ABA Services departments.

Major Responsibilities:

Coordinate request for exchange of information to/from various external stakeholders as well as receiving and responding information from outside agencies, track flow of information, enter into the electronic database and distribute information to appropriate staff members.

Perform various administrative support tasks for the Psychological Services, Behaviour Resource Services, ABA Services and Mental Health Services departments including but not limited to scheduling meetings, preparing meeting minutes, uploading of forms, preparing letters and maintaining and ordering department materials, preparing and supporting in-service delivery.

Prepare a variety of documents, memos, letters and reports for the Department Staff

Assemble, and organize relevant data (spreadsheets) to assist in budgeting, contracts, monitoring/reconciling and reporting.

Create, update and maintain all department(s) information using various software programs and prepare reports as required.

Create and maintain filing system, records and shared drives of Psychological Services, Behaviour Resource Services, ABA Services, and Mental Health Services documents in compliance with Board policies and Freedom of Information, Standards of the College of Psychologist of Ontario, Ontario college of Social Workers and Social Service Workers and Protection of Privacy Act.

Provides back up support to the secretarial team during peak periods, such as data entry or processing of forms.

Other duties as assigned.

Qualifications and Experience:

Administrative Assistant courses or certificate.

1 to 2 years of previous work experience.

Skills and Competencies:

Excellent verbal and written communications skills.

Well organized and attentive to details.

Solid working level knowledge of Google Suite, Microsoft Office, GAFE.

Excellent oral communication and interpersonal skills to respond to calls, emails, and/or inquiries, and to liaise with staff across the department/organization

Excellent time management skills required.
