Description
The Administrative Support IV is responsible for the efficient and effective administration of the assigned Department of Clinical Neurosciences physicians’ research and education (academic) activities at Foothills Medical Centre. This position must be able to act independently and in collaboration with physicians’ while managing their busy schedule. You will have strong administrative skills with a full understanding of Alberta Health Services and the University of Calgary as well as a comprehensive understanding of academic medicine to function effectively. You will be self-directed in resolving issues and professionalism is paramount in representing the Department to internal and external stakeholders. You will be involved in assessing and coordinating daily schedules of physician(s) and maintain calendars, exercising careful judgement and have knowledge of priorities. You will ensure that the physician(s) are aware of all deadlines, submission of grants, and annual reports. Strong communication is essential to this role and relaying information to the physician(s) regarding correspondence, phone messages, and meeting requests. You will be responsible for planning and coordinating meeting or retreat logistics, preparing agendas and minutes, grant applications, AIR reports, updating CV’s, student payments, observer ships for the Stroke Program, as well as submitting expenses and reconciliation. The successful candidate will be responsible for developing a comprehensive call schedule for the division and input into the ROCA system and producing reports such as the Physicians On-Call Payments. And other tasks as needed.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post-secondary education.
Required High school graduate with an Office Assistant Certificate or diploma from an accredited organization/program. Minimum 5 years progressively responsible experience administrative /professional experience. Demonstrated advanced software experience in Microsoft Word, Excel. Outlook web access (calendar and email). Basic accounting/financial knowledge. Must be self-directed; able to problem solve sensitive and complex issues. Must be able to work under pressure to manage and organize competing and changing priorities and to meet deadlines with multiple interruptions. Superior communication and interpersonal skills. Must be able to exercise professionalism, judgment, tact, diplomacy and discretion when dealing with highly sensitive and confidential issues. Experience in complex scheduling. Experience with Peoplesoft (UofC) financial systems.
