Financial Administrator/Bookkeeper - Part-time (20 hours/week, Monday- Friday, 8am - 12pm)
Wage Grid: $21.09 - $28.13 per hour depending on experience
Position Overview
The Financial Administrator/Bookkeeper is responsible for managing the financial operations of the school, including payroll, accounts payable/receivable, and maintaining accurate financial records. This role supports the financial health of the school and ensures compliance with all applicable laws and regulations. The individual will also assist in budget preparation and provide regular financial reports.
Key Responsibilities
Financial Record Keeping
Maintain day-to-day financial transactions and complete the posting process.
Reconcile sales taxes, payroll taxes, and bank accounts monthly.
Ensure timely and accurate financial documentation.
Budget Management
Assist with the preparation of the school’s annual budget.
Monitor budget performance and report variances, ensuring financial discipline.
Tuition and Fees Management
Manage the billing and collection of tuition and other fees.
Communicate with families regarding financial accounts and respond to inquiries.
Manage and track tuition assistance and scholarship programs, ensuring transparent and equitable distribution.
Payroll and Benefits Administration
Process payroll accurately and on time.
Ensure proper calculation of wages, tax withholdings, and deductions.
Maintain staff absence records related to payroll and assist in preparing staff contracts.
Financial Reporting & Planning
Prepare monthly financial reports, including cash flow, profit and loss, and balance sheets.
Assist with the preparation for annual audits.
Assist in the development of long-term financial strategies and projections to support the school’s mission and goals.
Compliance and Best Practices
Ensure legal and regulatory compliance for all financial operations.
Implement and continuously improve financial controls and procedures.
Cash Management
Prepare deposits for cash received and reconcile bank and credit card statements monthly.
Manage invested funds as directed by the Board.
General Administration
Maintain employee files and ensure compliance with insurance policies.
Communicate with various stakeholders, including students, parents, vendors, and staff.
Grants and Fundraising Management
Grant Applications: Research, identify, and apply for grants or financial aid available to schools, including government or private sector grants.
Fund Management: Manage and track funds received from grants and fundraising efforts. Provide detailed reporting on how funds are used.
The successful candidate will have qualifications/skills which include, but are not limited to:
Being a faithful follower of Jesus Christ
Being an active member of a Christian Church
Having a Bachelor’s degree in Accounting, Finance, or related field (or equivalent proven experience).
Having experience in bookkeeping, ideally in an educational setting.
Being proficient in accounting software, spreadsheets, payroll software, and general office software.
Demonstrating a strong attention to detail and problem-solving abilities.
Demonstrating excellent organizational and time-management skills.
Possessing clear and concise verbal and written communication skills.
An ability to work with school administration, board members, and staff to support financial and operational goals.
An ability to identify potential financial issues, analyze data, and provide actionable solutions is a key skill.
Having experience in financial forecasting, cash flow management, and strategic financial planning is a plus.
A clear understanding and support of CRCS's and ACSI's Mission Statements
