The Facilities Coordinator is responsible for ensuring that the workplace operates smoothly, safely and efficiently. They will work closely with the Facilities Manager in regards to planning and coordinating facilities improvement projects. The Facilities Coordinator ensures ESI Canada’s facilities and physical security needs are being met in an effective and efficient manner. The Facilities Coordinator will maintain relationships with vendors and building managers to ensure the facilities are maintained across Canada working in partnership with the Facilities Manager. While working with vendors to outsource facility maintenance needs, the Facilities Coordinator is also responsible for physically completing maintenance tasks as required and as requested.
12 MONTH CONTRACT
Essential Functions:
Facilities
Monitoring of critical equipment & environments: UPS', server room cooling units, Pharmacy refrigeration, power failures.
Responding to critical events/emergency response such as server room a/c failure, ups failure, fridge failure & power outages. May need to travel to site, call vendor(s), coordinate with other teams, etc.
Assist with supporting the Security Team in the U.S. with issue resolution & service calls.
Booking vendor appointments
Escort vendors/ensure that vendors are delivering services per the contract.
furniture assembly/small repairs where possible
Ordering products
Vendor payment via PO creation
Review & complete Cherwell tickets
Will be expected to be an active member in the Joint Health and Safety Committee (JHSC) and also coordinate the fire safety component.
Qualifications:
3 years of previous experience in a facilities related role
College Diploma in a related field - Certificate in Facility and Property Management preferred
Previous experience managing lease and contract negotiations
Knowledge of the Canadian Occupational Health and Safety Act as it relates to creating a physically safe work environment
Previous project management experience is an asset
Experience using tools, including power tools required to complete building and office maintenance tasks
Customer focused with a strong focus on servicing internal customers and technical support
Previous experience in purchase order and invoicing processing
Excellent planning, organizing, analytical, problem solving, and time management skills
Critical thinking for decision making
Ability to work individually and collaboratively in a team setting
Strong attention to detail
Must be able to travel between locations with their own car
Additional duties and projects as assigned.
Emergency response and evening and weekend project support as necessary when necessary
