The Fort McMurray Catholic School Division requires a full-time Administrative Coordinator for the Human Resources Department. The incumbent is responsible to provide confidential administrative support for the Human Resources Department.
Requirements and Competencies
Business/Office Administration Diploma and/or other applicable post-secondary program with course work in Human Resources administration
Minimum 2 years of similar and progressive work experience in a human resources generalist role
Highly proficient in the use of computer applications such as Microsoft Office, Google Applications, and other information management tools
Fluent in English oral and written communication
Working knowledge of Human Resources practices and employment legislation
Strong organizational, time management and interpersonal skills to address heavy peak period work activities
Clean criminal record check
Strong problem-solving skills and proven ability to exercise sound professional judgment, especially regarding confidential/sensitive matters
Ability to work in a fluid and challenging work environment with changing deadlines
Ability to communicate in a sensitive, courteous manner with employees, co-workers and the general public
Ability to deal with sensitive and discretionary matters and maintain strict confidentiality
Job Responsibilities and Activities
Reporting to the Director and Deputy Superintendent - Human Resources, the Human Resources Administrative Coordinator is carrying out a variety of tasks to support the operation of the HR department including:
Provide confidential administrative support to management:
Prepare confidential documents and correspondence
Compose and/or assist in the preparation of letters, contracts, reports and onboarding documents
Extract data from information system and prepare reports as required
Manage personal records for all Division employees
Process HR documents and forms
Assist in the administration of the group employees benefit plans and Public School Works training program
Assist in the coordination of the staff recruitment function including:
posting of vacant positions
receipt and sorting of applications
scheduling interviews
preparing interview packages
communication with candidates
onboarding of new employees
Maintain log of critical dates for employee status changes such as evaluations, probations, promotion or contract termination
Work closely with the Payroll Department to provide timely and accurate information to support the payroll functions
Liaise with other departments, schools and external agencies
Assist in the organization and coordination of events and activities such as:
Long Service Awards
Year end events
Other related duties as assigned by the Director of Human Resources and Deputy Superintendent - Human Resources.
The successful candidate will be required to provide a Criminal Reference Check and a Vulnerable Sector Check. FMCSD may contact past and present employers for references. All FMCSD employees are expected to be computer literate; this includes fluency with e-mail, Internet, MS Office and Google Suite.
