Role Summary
The Events Coordinator is responsible for assisting in the planning, and execution of all resort events to be delivered to brand standard. They will support in the preparation of related documentation, event operations, and collaborate with internal divisions to ensure consistent, high-level service throughout pre-event, event and post-event production. They must support various areas of the organization based on operational needs when events are not scheduled. The Events Coordinator is an ambassador of Friday Harbour and must ensure that each guest has a memorable experience.
Responsibilities
- Works closely with the Events team in execution of event details including site plan and event schedule
- Executes event operations to the highest level with safety, with Guest experience the priority
- Coordinate and communicate with clients, both internal and external regarding event details
- Assist in managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, and communicating with teams
- Collaborate with various internal departments to respond to all Member and Guest requests
- Ensure all events are set up per specifications on event order including audio visual, food and beverage, furniture and equipment setup with attention to detail
- Assist in other departments or perform cross-functional duties as required when events are not scheduled.
- Create sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities
- Maintain organization and cleanliness of all venue space, equipment, and storage space by assisting with management of on-site production
- Execute daily check ins on vendors to ensure security requirements and paperwork are complete
- Be knowledgeable about programs available and help promote them to guests
- Ensure that applicable policies and procedures, regulatory ordinances, governing laws and generally accepted protocol and practices are followed
- Respond to guest and department inquiries with respect to programs and activities
- Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the health and safety program
- Adhere to all environmental policies and programs as required
- Other duties as assigned
Requirements
- Post-secondary education in Hotel and Restaurant Management, Hospitality, Business Administration, or related field
- Previous experience in hospitality or event planning
- Must demonstrate flexibility and adaptability to support various departments and operational needs
- Experience in a luxury resort environment
- Strong knowledge of the local area
- Must possess excellent customer service skills
- Must be computer literate. Preferred candidate will have previous experience with Microsoft Word and Excel
- Strong verbal and written communication skills
- Detail-oriented and works with a high degree of accuracy
- Ability to multi-task in a fast-paced environment
- Must be extremely responsible with integrity and ability to maintain confidentiality and discretion
Working Conditions
- Must be able to work flexible hours including evenings, weekends and holidays
- Required to move, lift, carry, pull and place objects weighing less than or equal to 25 pounds without assistance
- Stand, sit or walk for an extended period or for an entire shift
- Reach overhead and below the knees, including bending, twisting and pulling
- Move over sloping, uneven or slippery surfaces
- Significant exposure to varying weather conditions
