NOTICE OF M.A.S.S. VACANCY

Position: Health and Wellness Administrator - Attendance

Salary Range: Band 2 - $59,641.00 - $71,123.00

Location: Human Resources, J.W. Singleton Education Centre

Work Schedule: 35 hours/week

Effective Date: October 15, 2024

Position Summary:

The Health and Wellness Administrator coordinates and provides high level administrative support to all areas in the Health and Wellness Department. The position ensures the flow of general administrative support work on a day-to-day basis including assisting with wellness initiatives and with the Attendance Support Program while providing front line quality customer service.

Key Responsibilities:

Processing confidential documents.

Creates and maintains confidential files filing, archiving and retrieving files in accordance with applicable legislation.

Supports Employee Health and Wellness’ social media and website

Assists with creating, preparing, organizing and presenting wellness presentations and communication material

Collaborates with third party agencies pertaining to employee wellbeing

Supports the Attendance Support Program with running reports, sending communication to employees, and other duties as assigned

Reviews documents received to ensure policy and procedure have been adhered to.

Accurately scans time sensitive medical documentation into employee files ensuring confidentiality.

Duties as assigned.

Provides support and customer service to all employees at all levels of the organization.

Effectively deals with potentially confrontational situations Identifies and escalates issues as they arise and as needed.

Qualifications:

One (1) year relevant work experience in a large unionized environment.

One (1) year College Diploma in HR Administration or Office Administration, or equivalent.

Experience working with Microsoft Office (Word, PowerPoint, Excel), Google Suite (Docs, Sheets, Drive, etc), Parklane, design software and other internal human resources information systems.

Proficient data management skills (excel)

Proficient Office administration experience (Includes, filing, scanning).

Knowledge of medical terminology.

Ability to handle a heavy workload and multiple tasks.

Excellent organizational, attention to detail, problem solving and strong interpersonal skills.

Ability to take the initiative and work with a minimum amount of direction.
